Job summary

Jane Pauley Community Health Center, Inc. is seeking a Vaccine Coordinator to lead the vaccine program across all clinic locations. You will ensure safe, compliant vaccine practices and partner with clinical leadership to improve immunization rates.

As the subject matter expert, you will educate staff, support the VFC program, manage inventory and workflows, and maintain CDC, ACIP, and state compliance while enhancing patient access to vaccines.

Qualifications

  • RN/LPN or licensed healthcare professional preferred; VFC experience considered.
  • Minimum 3 years clinical experience in ambulatory care or public health.
  • Experience leading immunization programs or education initiatives preferred.
  • FQHC exposure preferred.

The Vaccine Coordinator provides organizational leadership for all vaccine management activities across the health system, ensuring safe, effective, and compliant vaccine practices. This position oversees the Vaccines for Children (VFC) Program, supports vaccine inventory management, develops standardized workflows, and partners with clinical leadership to improve immunization rates and regulatory compliance.

The Vaccine Coordinator serves as the subject matter expert for immunization practices, providing education, coaching, and ongoing support to clinic vaccine champions and clinical staff while ensuring adherence to CDC, ACIP, state immunization program, VFC, and organizational standards.

Essential Duties and Responsibilities

  • Coordinate and oversee the organization's vaccine program across all clinic locations.
  • Serve as the primary organizational contact for the Vaccines for Children (VFC) Program.
  • Ensure compliance with CDC, ACIP, state immunization program, HRSA, and organizational vaccine requirements.
  • Develop, implement, and maintain standardized vaccine policies, procedures, and workflows.
  • Lead initiatives to improve immunization quality measures and patient vaccination rates.
  • Collaborate with Quality, Operations, Pharmacy, and Clinical Leadership to optimize vaccine delivery.
  • Build collaborative relationships with clinic leadership and vaccine team members.
  • Partner with clinic managers to identify workflow improvements that increase vaccine access and efficiency.
  • Conduct routine clinic visits to assess vaccine operations and provide coaching.
  • Assist clinics in resolving vaccine-related operational issues.
  • Support implementation of new vaccine recommendations, products, and organizational initiatives.
  • Promote best practices that improve patient safety and immunization compliance.
  • Develop and deliver education for providers, nurses, medical assistants, and vaccine coordinators.
  • Train new clinical staff on vaccine administration, documentation, storage, handling, and VFC requirements.
  • Provide ongoing competency assessments and refresher education.
  • Partner with clinical education team to create educational tools, tip sheets, workflows, and reference materials.
  • Ensure clinic vaccine champions remain current on CDC and ACIP recommendations.
  • Monitor vaccine-related quality metrics and identify opportunities for improvement.
  • Analyze immunization data and develop action plans with clinic leadership.
  • Participate in Quality Improvement initiatives focused on increasing childhood, adolescent, and adult vaccination rates.
  • Monitor compliance with vaccine storage and temperature monitoring requirements.
  • Review documentation accuracy and immunization registry reporting.
  • Assist with internal audits and regulatory readiness activities.
  • Monitor vaccine inventory practices across all locations.
  • Ensure appropriate inventory controls to reduce waste and expired vaccines.
  • Review vaccine ordering patterns and utilization.
  • Monitor temperature logs and cold chain compliance.
  • Coordinate emergency response procedures for temperature excursions and equipment failures.
  • Support implementation of inventory management best practices.
  • Maintain organizational compliance with all VFC program requirements.
  • Coordinate annual VFC enrollment, re-enrollment, and provider agreements.
  • Monitor vaccine eligibility documentation and proper patient screening.
  • Assist VFC site team members in monitoring of appropriate vaccine ordering, allocation, accountability, and reporting.
  • Partner with clinics to ensure proper vaccine storage and handling standards are maintained.
  • Coordinate responses to vaccine excursions, recalls, and wastage events.
  • Prepare clinics for VFC site visits and regulatory audits.
  • Maintain required documentation and corrective action plans when necessary.
Qualifications
Education
  • Registered Nurse (RN), Licensed Practical Nurse (LPN), or other licensed healthcare professional preferred. Experience with VFC programs will be considered
  • Bachelor's degree in Nursing, Public Health, Healthcare Administration, or related field preferred.
Experience:
  • Three (3) or more years of clinical experience.
  • Experience with vaccine management or immunization programs required.
  • Experience managing the Vaccines for Children (VFC) Program strongly preferred.
  • Experience in ambulatory care, community health, or Federally Qualified Health Centers preferred.
  • Experience leading education, quality improvement, or regulatory compliance initiatives preferred.
Knowledge, Skills & Abilities
  • Extensive knowledge of CDC and ACIP immunization recommendations.
  • Knowledge of VFC program requirements and vaccine compliance regulations.
  • Strong understanding of vaccine storage, handling, and cold chain management.
  • Ability to interpret immunization schedules and clinical guidelines.
  • Excellent presentation and adult education skills.
  • Strong organizational and project management abilities.
  • Ability to build collaborative relationships across multiple clinic sites.
  • Excellent written and verbal communication skills.
  • Ability to analyze data and develop improvement strategies.
  • Proficiency with electronic health records and immunization registries.
