Getty seeks a Utility & Building Systems Outage Coordinator to plan, coordinate, and communicate outages across Getty facilities.

This role serves as the central point of contact between Capital Projects, contractors, in-house facilities staff, and the broader Getty community to ensure outages are properly scheduled, clearly communicated, and executed with minimal disruption to museum, gallery, and administrative operations.

Qualifications

  • Thorough working knowledge of building utility systems (electrical, mechanical, plumbing, HVAC) and infrastructure coordination.
  • Experience coordinating with multiple stakeholder groups, including contractors, facilities staff, project managers, and communications teams.
  • Bachelor's degree or equivalent with 5+ years in facilities.

Responsibilities

  • Coordinate all planned and emergency utility/building system outages with Getty stakeholders and affected parties.
  • Develop and distribute clear outage notifications, including scope, affected systems, and timeline.
  • Serve as the primary liaison between project managers, contractors, in-house facilities staff, Getty Communications, and utility reps.
  • Maintain understanding of Getty's utility infrastructure to assess outage scope, impact, and risk.
  • Track outage schedules and provide timely updates to stakeholders on changes or delays.
  • Partner with Getty Communications to disseminate outage information across departments and public areas as needed.
  • Identify conflicts with museum operations or events, elevating scheduling issues as needed.
  • Maintain records/logs of past and upcoming outages for reference and reporting.
  • Participate in project meetings to represent outage coordination needs and input on sequencing.

Overview

The Utility & Building Systems Outage Coordinator is responsible for planning, coordinating, and communicating all utility and building system outages across Getty facilities. This role serves as the central point of contact between Capital Projects, contractors, in-house facilities staff, and the broader Getty community to ensure that outages are properly scheduled, clearly communicated, and executed with minimal disruption to museum, gallery, and administrative operations.

Responsibilities
  • Coordinate all planned and emergency utility/building system outages (e.g., electrical, mechanical, plumbing, HVAC, fire/life safety, IT/network infrastructure) with relevant Getty stakeholders and affected parties.
  • Develop and distribute clear, accurate outage notifications, including a description of the outage, the systems and areas affected, and the anticipated timeline.
  • Serve as the primary liaison between project managers, contractors, in-house facilities staff, Getty Communications, and utility representatives throughout the outage planning and execution process.
  • Maintain a comprehensive understanding of Getty's utility infrastructure and building systems to accurately assess outage scope, impact, and risk.
  • Track outage schedules and provide timely updates to stakeholders in the event of changes, delays, or extensions.
  • Partner with Getty Communications to ensure outage information is disseminated appropriately across affected departments, galleries, and public-facing areas as needed.
  • Identify potential conflicts between planned outages and museum operations, events, or other capital project activities, and proactively elevate or resolve scheduling issues.
  • Maintain accurate records/logs of past and upcoming outages for reference and reporting purposes.
  • Participate in project meetings to represent outage coordination needs and provide input on sequencing of utility/system work.
  • Support post-outage debriefs to capture lessons learned and improve future coordination processes.
Qualifications
  • Thorough working knowledge of building utility systems (electrical, mechanical, plumbing, HVAC) and infrastructure coordination in a large facility or campus environment.
  • Demonstrated experience coordinating with multiple stakeholder groups, including contractors, facilities staff, project managers, and communications teams.
  • Strong written and verbal communication skills, with the ability to translate technical information into clear, accessible updates for a non-technical audience.
  • Excellent organizational skills and the ability to manage multiple concurrent schedules and priorities.
  • Ability to work collaboratively across departments in a fast-paced, deadline-driven environment.
  • Experience in capital projects, facilities management, construction coordination, or a related field.
  • Bachelor's degree in engineering, construction management, facilities management, or a related field; or an equivalent combination of education and experience with 5+ years in facilities.
