Job summary

Alice & Bob, a pioneering quantum startup, is seeking an Office Manager to build the operational backbone of its US presence. You will own HR, finance, and admin operations for US employees and partner with France-based teams.

Based in the US, you will manage payroll (Gusto), benefits, contracts, and records, coordinate with external partners, support visa processes, and help organize team events as the company scales.

Qualifications

• 8+ years in HR, finance, or office management, startup background preferred
• Experience running US payroll and benefits administration (Gusto or similar)
• Solid knowledge of US employment law across multiple states
• Experience drafting and managing offer letters, employment contracts, and records
• Experience with budget tracking and expense tools
• Based in the US and authorized to work there
• Excellent written and verbal English communication skills

Responsibilities

• Own day-to-day HR operations for the US team: onboarding/offboarding, records, and HR inquiries
• Manage US payroll and benefits administration with external partners
• Prepare, issue, and maintain offer letters, contracts, and amendments
• Own financial administration for the US subsidiary: budget tracking and reporting, expense management
• Coordinate with external HR, payroll, and legal/immigration partners
• Support visa and immigration processes (H-1B, O-1, green card sponsorship)
• Organize US team events, offsites, and team-building activities
• Continuously improve HR, finance, and admin processes as the US team grows
