Job Summary

We are seeking a highly organized and detail-oriented professional to join our team in a dynamic and fast-paced office environment. This role is essential to the smooth operation of our office, providing critical administrative and clerical support to a small team of approximately four staff members. The ideal candidate will be a proactive problem-solver with strong communication skills, the ability to manage multiple tasks simultaneously, and a commitment to delivering exceptional service to both internal staff and external visitors. This position requires a creative and resourceful individual who can work independently under general supervision while maintaining a high level of professionalism and efficiency.

Responsibilities
  • Serve as the primary point of contact at the front desk, greeting and directing visitors in a professional and welcoming manner
  • Answer and manage incoming phone calls, providing information and routing calls as appropriate
  • Schedule appointments and manage calendars for office staff
  • Assist with scaling trucks and coordinating related logistics
  • Take dictation and prepare correspondence, documents, and reports as needed
  • Support the planning and execution of office tours, visits, and events
  • Run general errands, including occasional pickups for lunches and events
  • Assist with specific projects as assigned by supervisors or managers
  • Gather and monitor information to support office operations and reporting needs
  • Perform a variety of clerical and administrative tasks to relieve officials of minor administrative and business detail
