Job summary

Premier Healthcare LLC is seeking an administrative/clinical support professional to schedule resident appointments, manage EMR records and coordinate transportation and visits for contracted physicians.

The role requires familiarity with EMR systems, medical terminology and HIPAA compliance. Strong communication and multitasking skills are essential for working across nursing staff and residents.

Qualifications

  • Requires high school diploma or equivalent; prior healthcare experience preferred.
  • Familiar with Windows-based programs and EMR charting.
  • Knowledge of medical terminology and insurance CPT/ICD-9 codes.
  • Maintain HIPAA confidentiality at all times.
  • Strong written and verbal communication; able to work independently.
  • Ability to multi-task and prioritize tasks in a fast-paced environment.
  • Ability to lift up to 30 lbs and assist with transport when needed.

Responsibilities

  • Schedule resident appointments, surgeries, diagnostic and therapeutic services and compile documents.
  • Record medical and administrative information into the EMR.
  • Maintain Lab and Pharmacy records on the units.
  • Order labs, x-rays and other diagnostic testing.
  • Schedule appointment for contracted physicians and gather information for visiting doctors.
  • Maintain nursing forms on all units and assist with updating when required.
  • Responsible for organization and cleanliness on all units.
  • Answer the telephone on all units and relay messages to appropriate personnel.
  • Accompany resident to health appointments or transport to in-house appointments when needed.
  • Assist the Medical Records Director with other assigned duties.

Job description

ESSENTIAL DUTIES:
  1. 1. Schedule resident appointments, surgeries, diagnostic and therapeutic services, etc and compile documents to accompany resident.
    • a. Schedule Transportation for the level needed.
    • b. Register residents for public transportation (STS).
    • c. Verify Insurance and obtain referrals when necessary.
    • d. Complete medical necessity forms.
    • e. Contact responsible party about the appointments.
    • f. Prepare documents needed for appointment.
    • g. Communicate needs with nursing staff.
  2. 2. Record medical and administrative information into the EMR.
  3. 3. Maintain Lab and Pharmacy records on the units.
  4. 4. Order labs, x-rays and other diagnostic testing.
    • a. Schedule lab appointments and update the lab book.
    • b. Complete lab changeover at the end of every month.
  5. 5. Schedule appointment for contracted physicians.
    • a. Gather information for visiting physicians (i.e. eye, dental, etc) and assist when needed.
    • b. Maintain visitation lists and reschedule when necessary.
  6. 6. Maintain nursing forms on all units and assist with updating when required.
  7. 7. Responsible for organization and cleanliness on all units.
  8. 8. Answer the telephone on all units and assist with routine information, take and deliver messages to appropriate personnel.
  9. 9. Accompany resident to health appointments or transport to in-house appointments when needed.
  10. 10. Assist the Medical Records Director with other assigned duties.

SKILLS/KNOWLEDGE:
  • 1. Familiarity with windows-based computer programs and the ability to learn electronic medical record charting.
  • 2. Knowledge of medical terminology.
  • Basic knowledge of AHIMA requirements for charting and recording medical information.
  • 4. Basic knowledge of medical insurance plans, CPT and ICD-9 codes and keeping current with updates and pre-authorization guidelines.
  • Maintain HIPPA compliance and confidentiality at all times.
  • 6. Strong written, oral, and interpersonal communication skills required.
  • 7. Ability to work independently and proactively
    1. a. Ability to cooperate as member of work unit and effectively communicate with staff.
  • 8. Ability to effectively prioritize and execute tasks in a timely manner
    1. Ability to problem solve, multi-task and be detail-oriented required.
    2. Operate standard office equipment including printers, copiers, fax machines and scanners.
    3. Ability to demonstrate physical fitness to include standing and walking for extended periods of time, moderate to heavy lifting (over 30 lbs) and ability to push a wheelchair (up to 200 lbs).

EDUCATION:
  1. Any combination of education and experience which indicates possession of the skills, knowledge and abilities listed above.
  2. Qualifications for this position is completion of high school degree or the equivalent. Prior experience preferred.
OTHER:
  1. Ability to work in proper PPE when required.
  2. Up to date COVID vaccines and boosters required.
