Job summary

Responsibilities

  • Enter contracts and client details into traffic and billing system. Issue invoices and monitor payment activity.
  • Coordinate with the division’s finance team to report billing activity, process sales commissions, and reconcile reports to ensure accurate revenue balances.
  • Monitor outstanding accounts, follow up on delinquent payments, and maintain records for collections.
  • Coordinate the placement and scheduling of on-air spots, maintain and enforce copy deadlines, and generate daily/weekly traffic logs.
  • Reconcile discrepancies and maintain workflow integrity between programming and underwriting.
  • Assist with weekly broadcast schedules and respond to changes, preemptions, or last-minute revisions.
  • Monitor traffic software systems and liaise with vendors/tech support to improve functionality.
  • Prepare and maintain reports for GPB and FCC as needed.

The Underwriting and Traffic Coordinator manages underwriting sales and administration, revenue operations, content production, and traffic systems to support the delivery of underwriting and promotional messaging. This position also writes, records, and produces underwriting and public service announcements and manages program and traffic logs to ensure accurate scheduling and compliance. The coordinator collaborates with consultants, clients, business and station staff to support efficient station operations.

Duties/Responsibilities
Revenue Administration and Collections
  • Enter contracts and client details into traffic and billing system. Issue invoices and monitor payment activity.
  • Coordinate with the division’s finance team to report billing activity, process sales commissions, and reconcile reports to ensure accurate revenue balances between UGA financial records and the station’s traffic billing system.
  • Monitor outstanding accounts, follow up on delinquent payments as needed, and maintain records and documentation for collections.

Traffic and Program Log Management
  • Coordinate the placement and scheduling of on-air spots, while maintaining and enforcing copy deadlines. Generate and oversee daily and weekly program and traffic logs to ensure accurate and timely scheduling of content.
  • Reconcile discrepancies and maintain workflow integrity between programming and underwriting.
  • Assist with management of weekly broadcast schedules, including responding to any programming changes, preemptions, or last-minute revisions.
  • Monitor and maintain traffic software systems, including liaising with vendors and technical support to troubleshoot or improve functionality.
  • Prepare and maintain reports for GPB and FCC as needed.

Underwriting Sales and Contract Administration
  • Provides oversight and direction to the Underwriting Sales Consultant in the development and management of underwriting agreements and client relationships. Ensures contracts are properly maintained in the designated repository and that contract administration processes are followed.

Content Creation
  • Write, edit, record, produce, and manage inventory for underwriting announcements, promotional spots, and public service announcements, ensuring all content complies with FCC guidelines.
  • Maintain internal standards for copy quality, including grammar, timing, syllable count, name pronunciations, and functional URLs.

Other Duties And On-Air Support
  • Serve as backup on-air host as needed and contribute to weekly feature recording and editing.
  • Support annual giving campaigns, tabling opportunities, and fundraising events as assigned.
  • Assist with special initiatives or projects as assigned.
  • Attend meetings as required.
