I. Job Overview

The UME Program Associate, Anesthesiology provides critical administrative, operational, and data management to assigned clinical clerkships and UME programs within the Office of Medical Education ( OME ) at George Washington University’s School of Medicine and Health Sciences ( SMHS ). This role serves as the primary operational point of contact for medical students, faculty, and clinical sites for their designated clerkships and/or programs.

In close alignment with the respective Clerkship Directors and OME , the Program Associate manages day-to-day clerkship logistics, ensures academic and accreditation compliance, maintains student records, and interfaces with main campus systems. This role requires a high degree of detail orientation and strong customer service skills. Furthermore, the Program Associate serves as a key UME partner responsible for the administration, coordination, and continuous improvement of clinical education processes. The position exercises independent judgment in resolving complex administrative issues, interpreting policies, recommending process improvements, and coordinating activities across multiple offices and clinical sites.

Responsibilities include
  • Administer and oversee third- and fourth-year medical student clinical course and site scheduling, evaluating competing priorities and independently resolving scheduling conflicts while ensuring compliance with curricular requirements and institutional policies.
  • Coordinate all aspects of clinical course administration, including but not limited to registration, schedule changes, grade processing, and maintenance of academic records.
  • Manage administrative aspects of orienting medical students at the start of each rotation.
  • Oversee student onboarding requirements for clinical training sites by coordinating, where applicable, required clearances, certifications, compliance documentation, and electronic medical record access while ensuring adherence to applicable policies and deadlines.
  • Oversee all administrative aspects of student day and classroom activities including securing space or student day and other educational sessions and administrative meetings.
  • Oversee the logistics planning, scheduling, and proctoring for clerkship examinations in accordance with school policies.
  • Serve as the primary clerkship program administrative liaison between the clerkship’s leadership, OME , the Office of Student Affairs, the Office of the Registrar, academic departments, and clinical training sites to facilitate the effective administration of clinical education programs.
  • In accordance with university policies, academic regulations, and clinical education requirements, advise students, staff, faculty, and administrators on appropriate administrative processes and resolve routine and moderately complex issues independently.
  • Coordinate communication among faculty, clerkship directors, academic departments, and SMHS offices to ensure timely dissemination of information and consistent application of academic policies and accreditation standards.
  • Administer, solicit, and collect electronic student evaluations from teaching faculty (and from residents if applicable). Compile grade components, and monitor grade reporting timelines to ensure compliance with university and accreditation deadlines.
  • Serve as the primary clerkship administrator/coordinator for MedHub (or similar medical education management software) to track and monitor student case logs, duty hours, and mid-clerkship feedback compliance, escalating issues to the Clerkship Director when necessary.
  • Compile clerkship evaluation data during course reviews and continuous quality improvement processes.
  • Perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning responsibilities that are logically related to the position.
Minimum Qualifications

Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

  • Prior experience providing administrative support within a University setting, Student Affairs division, or Medical Education environment preferred.
  • Strong customer service and interpersonal communication skills.
  • Proven success managing complex workflows in a fast-paced work environment.
  • Ability to work well under pressure, and maintain calm demeanor in stressful environments.
  • Exceptional attention to detail and organized record-keeping.
  • Demonstrated experience managing large volumes of data electronically (e.g., student information systems, Excel spreadsheets, or medical education management platforms like MedHub/Blackboard).
Hiring Range

$52,741.91 - $72,476.48
