Job summary

New Horizon Bank is seeking a Trust Operations Coordinator to provide administrative, operational, and client service support to the Trust Department. You will help maintain accurate records, process transactions, and support fiduciary relationships with clients, attorneys, and internal partners.

The role emphasizes trust accounting knowledge, regulatory compliance, and collaboration across Operations, Compliance, and Finance.

Qualifications

  • Associate degree preferred; equivalent banking experience considered.
  • Minimum of 2 years of banking, trust administration, wealth management, legal, or financial services experience preferred.
  • Experience working in a trust department, estate planning law firm, wealth management firm, or community bank is beneficial.
  • Familiarity with trust accounting systems and fiduciary operations.
  • Knowledge of trust compliance, fiduciary regulations, and account documentation.

Responsibilities

  • Provide administrative and operational support for trust, estate, agency, and custody accounts.
  • Assist onboarding new trust relationships, including account setup, documentation review, and system maintenance.
  • Process trust account transactions: deposits, distributions, transfers, fees, and maintenance requests.
  • Prepare trust account documentation, correspondence, meeting materials, and client reports.
  • Maintain organized client files in accordance with regulatory and Bank record retention requirements.
  • Coordinate account reviews and assist with annual administrative reviews.
  • Work with Trust Officers to ensure timely completion of client requests and fiduciary activities.
  • Serve as a primary point of contact for routine client inquiries and provide exceptional customer service.
  • Coordinate with Operations, Deposit Services, Loan Operations, Compliance, Finance, and Investment partners to support trust account administration.
  • Monitor outstanding documentation and follow up with clients, legal representatives, and internal departments.
  • Assist with trust account billing and fee collection.
  • Perform other duties as assigned.

General Job Summary: The Trust Operations Coordinator provides administrative, operational, and client service support for the Bank's Trust Department. This position is responsible for ensuring the efficient administration of trust and fiduciary accounts by coordinating account documentation, maintaining accurate records, processing transactions, supporting regulatory compliance, and delivering exceptional service to clients, attorneys, accountants, and internal business partners.

As a key member of a growing Trust Department, this individual will assist in establishing operational processes and procedures while supporting the Bank's commitment to personalized relationship banking and fiduciary excellence.

Essential Duties and Responsibilities:

  • Provide administrative and operational support for trust, estate, agency, and custody accounts.

  • Coordinate with Operations, Deposit Services, Loan Operations, Compliance, Finance, and Investment partners to support trust account administration.

Required Knowledge, Skills, and Abilities:

  • Experience with InnoTrust software is strongly preferred.
  • Ability to learn trust accounting and trust management software.
  • Knowledge of fiduciary accounts, trust operations, estate administration, and/or investment services.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize multiple tasks while meeting deadlines.
  • Excellent written and verbal communication skills.
  • Strong customer service and relationship management abilities.
  • Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
  • High level of integrity, professionalism, and discretion.

Education and Experience:
