Job Summary

We are seeking a Trust Administrator I to join the team within Premier Trust, a member of Osaic. The position is responsible for ensuring the basic administration of trust accounts, maintaining all account records, producing reports, and representing the company in customer relations.

Responsibilities
  • Open new accounts by obtaining the latest information and documentation from clients, reviewing and analyzing documentation, tracking missing items, and completing new account forms.
  • Prepare forms for client disbursements, deposit receipts, automatic payment set‑up requests, wire transactions, ACH transfers, and trade requests.
  • Provide consultation with the trust officer regarding proper vesting, handling, and following of assets.
  • Contact or correspond with persons, agencies, and organizations that have an interest in any aspect of assigned accounts.
  • Review and process various reports, schedule appointments or tasks as necessary, assemble documents, reports, or other information, answer and direct calls, take and relay messages, and sort, screen, and distribute mail without supervision.
  • Organize and maintain customer account files and close accounts in accordance with company procedures.
  • Provide effective customer service and respond to inquiries from internal and external customers, ensuring answers or information are received by the inquiring party, investigating and resolving problems within the given knowledge level.
  • Gather and calculate data and prepare a variety of monthly, quarterly, and annual reports for management, ensuring reports are accurate, complete, and prepared on schedule.
  • Compose, prepare, and proofread for supervisor’s signature correspondence such as internal memorandums, letters, and emails to customers.
  • Input and process data on a personal computer and maintain strict confidentiality of all records and data received and produced.
  • Create and maintain database and spreadsheet files, reconcile credit card statements monthly, submit receipts, and reimburse Premier Trust from client accounts when applicable.
  • Comply with the Bank Secrecy Act, OFAC Anti‑Money Laundering, and USA PATRIOT Act policies, including verifying the identity of any person or business opening an account and consulting terrorist lists before opening an account.
  • Report any customer suspected of suspicious activity immediately to the BSA/Compliance Officer.
  • Perform all other duties as assigned.
Education Requirements

High School Diploma or equivalent (GED) required, or an equivalent combination of education and experience. Work‑related experience should consist of administrative duties in a financial institution setting such as Branch Banking, Human Resources, IT, Loan Processing, Marketing, Administration, CRA/Community Development, or Trust Administration.

Basic Requirements
  • At least 1 year of basic knowledge of state trust, federal trust, and applicable financial institution compliance regulations and other Trust Administration/operational policies.
  • Basic administrative assistant skills, typically resulting from a combination of education in computer operation and several years of experience in an administrative position.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, and technical procedures.
  • Basic knowledge of general office practices.
  • Proficiency with personal computer operations, including various software applications, word processing, spreadsheets, and specialty software programs (e.g., Microsoft Word, Excel).
  • Typing skills to meet production needs of the position.
  • Ability to deal with routine to difficult problems involving multiple facets and variables in non‑standardized situations.
  • Basic math skills for calculating interest and balance accounts, using whole numbers, fractions, and decimals, and computing rates, ratios, and percentages.
  • Effective oral, written, and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, and understand procedures.
  • Courteous social skills to welcome visitors in a business environment.
  • Effective organizational and time‑management skills.
  • Ability to work with general supervision while performing duties and to pay close attention to detail.
