Job summary

Tolleson Wealth Management seeks a detail-oriented Trust Assistant to support Trust Officers in daily administration of trustee and executor relationships. You will coordinate with clients, beneficiaries and advisors, handling administrative details and maintaining workflow.

This role focuses on accuracy of client statements, assisting with distributions, and ensuring compliance across accounts. Strong communication, discretion, and proficiency with Windows and Microsoft Office are essential.

Qualifications

  • Prior experience in private trust administration (2+ years).
  • Experience with trust operations is a plus.
  • Strong interpersonal and communication skills.
  • Sound judgment and discretion in decision making.
  • Extensive use of Windows and MS Office (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and organizational skills are essential.
  • Proofreading skills.
  • Must consent to background check and drug/alcohol test.

Responsibilities

  • Responsible for assisting Trust Officers and other trust department personnel in the daily administration of Private Trust’s trustee and executor relationships.
  • Work closely with trust department personnel on a day-to-day basis, to assist with handling administrative details while maintaining workflow.
  • Act as a point of contact with clients, trust beneficiaries and their advisors, co-fiduciaries, misc. outside service providers and internal company personnel.
  • Coordinate requests from clients, client assistants and other outside advisors.
  • Assist in trust account set up, effectuating trust distributions and trust administration.
  • Ensure integrity of account information to produce timely and accurate client statements.
  • Assist with monitoring and meeting compliance issues on each account.
  • Perform special projects relating to client billing issues, mail such as address changes, account changes, inquiry phone calls and other projects.
  • Assist in preparing meeting materials for various Private Trust Committees.
  • Handle other duties as assigned or requested.
