Job summary

William Paterson University is seeking a Program Coordinator for the TRIO Student Support Services program. The role focuses on managing daily operations, coordinating events, and ensuring compliance with federal grant requirements.

You will track data, support budget processes, and assist with reports and evaluations. Key responsibilities include HR paperwork, mentoring student staff, and maintaining confidential files, with some evening/weekend duties.

Qualifications

• Associate’s degree in related field is required.
• Two years of experience in an educational setting.
• Proficiency in Word, Excel, PowerPoint, and Outlook is required.
• Experience with budget administration, program coordination, and administrative record keeping is preferred.
• Ability to work in a fast-paced environment with limited supervision.
• Strong communication and organizational skills; ability to work with diverse communities.

Responsibilities

• Provide administrative support to the Director and staff (phones, scheduling, correspondence, travel and expenses, supplies).
• Coordinate events, meetings, and program activities; maintain communications (reports, flyers, newsletters, website, social media).
• Enter and manage program data and reports; ensure compliance with federal grant requirements.
• Monitor budgets, purchase orders, and expenditures; reconcile accounts.
• Assist with APR data collection, reporting, and program evaluations.
• Support recruitment, hiring, and onboarding of student employees and tutors; ensure HR paperwork and background checks are completed.
• Assist with policy updates, materials, and handbook preparation; maintain confidential records.
• Occasional evenings and weekends may be required.
