Job summary

Children’s Choice Pediatric Dentistry and Orthodontics in the Washington, DC area seeks a Treatment & Patient Care Coordinator to be the hub of the front office and patient journey. You will welcome families, manage scheduling, verify data, and explain treatment and financing options with clarity.

You will also coach the front desk team, track key KPIs like call conversion and patient flow, and help promote community events while maintaining HIPAA compliance and a positive, mission-driven work

Qualifications

• Experience coordinating a front desk or patient flow in a dental or medical office.
• Strong communication skills with families and care teams.
• Proficient with patient data entry and insurance information handling.

Responsibilities

• Manage patient check-in/check-out and scheduling, including cancellations and no-shows.
• Explain treatments and financial responsibilities to families clearly.
• Coach front desk team to improve phone and treatment presentation skills.
• Ensure HIPAA compliance and monitor scheduling efficiency.

We’re looking for a Treatment & Patient Care Coordinator to be the hub of our front office and patient journey.

What You’ll Do

Patient Experience & Scheduling

• Welcome families warmly and keep check-in/check-out efficient and accurate.
• Manage scheduling, cancellations, no-shows, and reschedules with care.
• Ensure patient data and insurance information are entered correctly.

Treatment & Financial Coordination

• Explain treatment needs (including orthodontics and specialty services like frenectomy) clearly to families.
• Present financial responsibilities with transparency and confidence.
• Support families in making informed decisions about their child’s care.

Team & Accountability

• Help track key performance indicators such as call conversion, retention, and patient flow.
• Coach front desk team members through role-plays and scripts for phone calls, financial discussions, and treatment presentations.
• Recognize great performance and support teammates in growing their skills.

Operational Excellence

• Audit scheduling efficiency and ensure HIPAA compliance.
• Lead weekly check-ins to review progress, track completion of tasks, and celebrate wins.
• Partner with the team on community promotions and patient marketing.

Schedule

• Mon–Thurs: 8:00 AM–5:00 PM (DC office 11-7 pm M)
• Fri: 8:00 AM–2:30 PM One Saturday/month during non-summer months
