Orthodontic Treatment Coordinator
Summary: The Treatment Coordinator is responsible for providing an ideal New Patient experience. They follow the full assessment by the doctor, spend time with patients to answer questions related to treatment and fees, and ensure patients leave well-informed with all questions answered about treatment options and fees.
Pay Range: $16.54 - $21.49/hour (Based on experience) and this position is eligible for monthly bonuses.

Responsibilities
Essential Duties and Responsibilities: include the following. Other duties may be assigned.
- Confirm all exam, observation, and recall patients personally
- Maintain a low no-show rate by confirming patient appointments two nights prior and monitoring schedules
- Ensure a full, productive exam schedule every day for new patient appointments
- Remind patients to complete paperwork during confirmation calls to ensure timely appointments
- Put patients and parents at ease with a friendly meet and greet
- Introduce patients to the office and give office tours
- Support the office, doctor, and team members
- Discuss treatment plans with patients/parents
- Document diagnostic findings, detailed treatment recommendations, and pertinent information discussed during consultations
- Explain office policies and procedures
- Schedule contracts, records, and follow-up appointments in the Practice Management System
- Maintain and utilize the recall system
- Achieve a start conversion percentage goal of 65% per month
- Send and manage patient correspondence, including letters and follow-ups
- Follow up on exam patients with at least 3 contacts post-exam, tracking and documenting interactions
- Remind doctors of necessary letters, x-ray readings, and referrals to complete the exam process and enroll patients
- Assist at the front desk by handling phone calls as needed
- Prepare contracts, discuss financial arrangements, and obtain signatures from responsible parties
- Explain risks and limitations, obtaining patient signatures
- Enter treatment plans into the chart/computer system
- Maintain a clean and organized work area
- Educate and discuss treatment plans with patients after diagnosis
- Discuss dental benefits when applicable
- Send pre-estimates and follow up with patients
- Educate patients on veneers, implants, crowns, bridges, orthodontics, perio treatments, and other diagnoses
- Use technology such as digital photos and intraoral cameras for patient education
- Handle difficult patients and perform public relations calls
- Monitor treatment plans and case acceptance rates
Qualifications
Education and/or Experience
- High school diploma or equivalent
- 1+ years of dental or orthodontic treatment planning experience (preferred)
- 6+ months of sales experience (preferred)
