POSITION SUMMARY
The Treatment Coordinator serves as an advocate and educator in creating treatment plans for dental care. This role is essential in securing treatment plan acceptance, coordinating financial resources and insurance requirements, and handling billing practices. Additionally, the role includes greeting patients, scheduling appointments, answering phones, and other office responsibilities as needed. The Treatment Coordinator maintains an efficient, knowledgeable, and positive demeanor to ensure a positive patient experience.
Required Schedule: Monday-Thursday 7:45am-5pm and Friday 7:45am-2pm.
KEY COMPETENCIES
- Conduct interviews to understand patients' oral health history, concerns, and objectives.
- Explain treatment plans, address patient concerns, and answer questions.
- Assist patients in prioritizing treatments and establishing scheduling and payment plans.
- Build trust and understand patient objectives.
- Conduct financial consultations with new and existing patients when new treatment plans are presented.
- Manage and communicate payment options and policies to uphold the practice’s financial integrity.
- Educate patients on dental benefits and work with dental benefit plans.
- Bill dental insurance, post payments, and handle claim estimations.
- Track and manage dental benefit plan accounts receivable and follow up on claims.
- Communicate with outside and third-party financing companies, educating patients on available options.
- Monitor patient accounts receivable and outstanding balances.
- Assist with collections for outstanding balances.
- Introduce new patients to the practice, explaining health history, examination process, and practice features.
- Conduct treatment consultations for new and existing patients with new treatment plans.
- Greet and check patients in and out.
- Answer incoming calls, including new patient inquiries, emergencies, scheduling, and record requests.
- Perform general office duties as required.
QUALIFICATIONS
To perform this role successfully, candidates should meet the following requirements:
- Previous front office dental experience required.
- Proficiency in computers and ability to learn new software, including Microsoft Office Suite.
- Knowledge of dental treatment plans and insurance processes preferred.
- Experience with dental/medical practice management software preferred.
- Demonstrate initiative, dependability, and punctuality.
- Effective time management and organizational skills.
- Ability to work in a fast-paced environment.
- Strong written and verbal communication skills.
- Ability to travel between locations if applicable.
- Ability to work independently and as part of a team.
- Accurate in creating reports, presentations, and correspondence.
- Excellent telephone etiquette and communication skills in person and over the phone.
