We are seeking an experienced, personable, and highly organized Treatment Coordinator to join our team. This individual will serve as an important connection between our patients, providers, and administrative team—helping patients understand their recommended treatment, navigate financial considerations, and confidently move forward with their care.
Position Overview
The Treatment Coordinator is responsible for guiding patients through the treatment planning and acceptance process from diagnosis through scheduling. This role requires strong communication skills, emotional intelligence, attention to detail, and the ability to discuss treatment and financial options in a clear and compassionate manner.
The ideal candidate is comfortable having meaningful conversations with patients about recommended treatment and can balance exceptional customer service with achieving practice goals.
Key Responsibilities
- Meet with patients following examinations and consultations to review recommended treatment.
- Clearly explain treatment recommendations, sequencing, expectations, and next steps.
- Help patients understand the importance and benefits of recommended treatment.
- Answer patient questions and address concerns with empathy and professionalism.
- Build trust and establish strong relationships with patients and families.
- Follow up with patients who have not scheduled or accepted recommended treatment.
- Maintain consistent communication with patients throughout the treatment process.
Financial & Insurance Coordination
- Review treatment costs, insurance benefits, estimates, and available payment options with patients.
- Clearly communicate the patient's financial responsibility before treatment begins.
- Assist patients in understanding insurance limitations without making promises regarding insurance coverage.
- Present appropriate financing and payment options.
- Work collaboratively with the insurance and front-office teams to resolve patient questions.
- Maintain accurate documentation of financial and treatment discussions.
Case Acceptance
- Support the practice's treatment acceptance goals through effective communication and patient education.
- Identify barriers preventing patients from proceeding with treatment and work to address those barriers appropriately.
- Utilize established treatment presentation and follow-up processes.
- Track outstanding treatment plans and follow-up opportunities.
- Proactively contact patients with unscheduled or incomplete treatment.
- Partner with providers and clinical team members to ensure patients receive consistent information.
- Coordinate treatment appointments based on provider recommendations and treatment sequencing.
- Work closely with clinical and scheduling teams to optimize provider schedules.
- Identify opportunities to schedule appropriate treatment while the patient is engaged in the practice.
- Help minimize delays between diagnosis, treatment acceptance, and treatment completion.
- Ensure treatment plans and scheduling information are accurately documented in the practice management system.
- Partner closely with dentists, hygienists, assistants, front-office team members, and practice leadership.
- Communicate patient concerns and treatment barriers to the appropriate team members.
- Participate in daily huddles, team meetings, and performance discussions.
- Support a positive, respectful, and collaborative team culture.
- Maintain confidentiality and comply with all applicable HIPAA and organizational policies.

- 2+ years of dental treatment coordination experience preferred.
- Experience with treatment presentation and case acceptance preferred.
- Knowledge of dental insurance and patient financial discussions.
- Experience with a dental practice management system preferred.
- Strong computer and administrative skills.
