We are seeking a full-time Front Desk/Treatment Coordinator to join our team. At Bay Smiles, our team is dedicated to the pursuit of excellence in patient care. Position Summary:
The Treatment Coordinator is an integral member of our dental team, providing support and guidance to our valued patients and team. This role primarily focuses on conducting individual consultations, building rapport and trusting relationships with our patients, meeting and exceeding KPIs and providing coverage at the front desk as needed.
Responsibilities:
- Verifying the patient's dental insurance benefits and explaining insurance benefits to patients, if applicable
- Guiding patients through an in-person consultation and explanation of treatment options and financial solutions
- Assisting potential patients in the decision-making process
- Develop and maintain relationships with potential and current patients, ensuring a smooth hand-off between consultation and treatment
- Using our CRM to maintain records of completed transactions and patients
- Manage follow up process by reaching out to potential patients who have already expressed an interest in treatment to help educate them on the process, identify where they are in their decision-making process, and/or follow up on patients who may have delayed treatment
- Participate, as needed, in the local outbound marketing efforts for the practice to increase patient lead generation
- Manage the referral-based lead generation process, working with existing patients to identify potential referrals
- Generating reports for all activities
- Posting payments made by patients and following up on non-paid insurance claims
- Managing late payments and overdue accounts
- Processing insurance payments and refunds
- Uploading completed insurance verification forms
- Monitoring weekly, monthly and quarterly reports to confirm payment from clients and insurance companies
- Update and maintain client's dental record
- Other duties as assigned
Qualifications:
- Excellent sales and negotiation skills
- 3-5 years of dental consultative sales experience
- Proficiency in Eaglesoft, a plus
- Strong communication and rapport building skills
- Self-motivation, drive and initiative
- An outgoing and confident approach
- Leadership experience preferred
- Knowledge of dental procedures and insurance billing codes
- Experience with or ability to quickly adapt to a new Patient Management Software
- Excellent organizational skills, ability to prioritize, and comfortable working independently
- Exceptional oral and written communication skills, including strong spelling, grammar, and punctuation
- Must be committed to providing outstanding customer service and demonstrate strong interpersonal skills
- Strong attention to detail
