Qualifications

  • Two years of professional work experience preferred in scheduling, transportation, dispatching, or administrative coordination.
  • Minimum of five years of driving experience preferred.
  • Valid driver’s license with an acceptable MVR; minor infractions may be considered based on organizational requirements.
  • Proficient computer and technology skills with the ability to create, maintain, monitor, and update live transportation schedules and calendars.
  • Proficiency with Microsoft Outlook, including calendar management, scheduling, and coordinating appointments or transportation requests.
  • Strong verbal and written communication skills with the ability to coordinate with supervisors, drivers, Tribal Members, departments, and other team members.
  • Strong organizational and time-management skills with the ability to coordinate multiple transportation requests, schedules, drivers, and priorities simultaneously.
  • Ability to maintain confidentiality and professionalism when handling Tribal Members and organizational information.

Responsibilities

  • Develop, coordinate, and maintain daily transportation schedules, routes, and timetables to support efficient services.
  • Coordinate transportation requests across departments to ensure coverage and avoid conflicts.
  • Assign drivers and vehicles to routes based on needs, availability, and priorities.
  • Monitor driver and vehicle availability and adjust schedules as needed.
  • Manage updates to schedules due to changes, weather, or incidents.
  • Communicate assignments, changes, and cancellations to relevant stakeholders in a timely manner.
  • Coordinate with Tribal Members regarding transportation requests and pickups/drop-offs.
  • Respond to scheduling issues and resolve conflicts or delays.
  • Maintain accurate transportation schedules and related documentation.
  • Collaborate with Transport Supervisor and departments to improve processes.

Job description

The Transport Scheduler coordinates transportation operations, including scheduling vehicles, drivers, and routes ensuring timely and efficient service.

Duties and Responsibilities:
  • Develop, coordinate, and maintain daily transportation schedules, routes, and timetables to support efficient and timely transportation services.
  • Coordinate transportation requests across departments and programs to ensure appropriate coverage and prevent scheduling conflicts or excessive transportation demands during specific times.
  • Assign drivers and available vehicles to scheduled routes and transportation requests based on operational needs, availability, location, and scheduling priorities.
  • Monitor driver and vehicle availability and make appropriate scheduling adjustments to maintain adequate transportation coverage.
  • Manage and update transportation schedules based on changing operational needs, cancellations, traffic, weather conditions, driver availability, vehicle availability, and other unexpected circumstances.
  • Communicate schedule assignments, changes, cancellations, and other relevant information to the Transport Supervisor, drivers, departments, and other appropriate team members in a timely manner.
  • Coordinate with Tribal Members regarding transportation requests, scheduling, pickup and drop-off information, and changes to ensure transportation needs are appropriately addressed.
  • Respond to and assist in resolving transportation-related issues, including scheduling conflicts, delays, cancellations, route changes, and other service concerns.
  • Maintain accurate and organized transportation schedules, records, requests, driver assignments, vehicle information, and other required documentation.
  • Work collaboratively with the Transport Supervisor and other departments to identify scheduling needs, improve transportation processes, and support efficient daily operations.
  • Maintain confidentiality and professionalism when handling Tribal Member, employee, and organizational information.
  • Follow established transportation procedures, safety requirements, and organizational policies.
  • Perform other related duties and responsibilities as assigned.
Skills and Experience:
  • Two years of professional work experience preferred, ideally in scheduling, transportation, dispatching, administrative coordination, or a related field.
  • Minimum of five years of driving experience preferred.
  • Valid driver’s license with an acceptable Motor Vehicle Record (MVR); minor infractions may be considered based on organizational requirements.
  • Proficient computer and technology skills with the ability to create, maintain, monitor, and update live transportation schedules and calendars.
  • Proficiency with Microsoft Outlook, including calendar management, scheduling, and coordinating appointments or transportation requests.
  • Strong verbal and written communication skills with the ability to effectively coordinate with the Transport Supervisor, drivers, Tribal Members, departments, and other team members.
  • Strong organizational and time-management skills with the ability to coordinate multiple transportation requests, schedules, drivers, and priorities simultaneously.
  • Effective problem-solving skills with the ability to quickly assess scheduling conflicts, transportation needs, and unexpected changes and determine appropriate solutions.
  • Ability to prioritize tasks and remain organized in a fast-paced, constantly changing work environment.
  • Strong attention to detail and accuracy when maintaining schedules, calendars, transportation records, and driver assignments.
  • Ability to communicate schedule changes, delays, cancellations, and other time-sensitive information clearly and promptly.
  • Dependable and able to work independently while collaborating effectively with the transportation team and other departments.
  • Ability to maintain professionalism, discretion, and confidentiality when working with Tribal Members and organizational information.
Physical Requirements:

To comply with the Rehabilitation Act of 1973 the essential physical, mental, and environmental requirements. Candidates must be able to successfully perform all functions of their job with minimal supervision.

This position is subject to Native American/Alaskan Native preference.
