Job summary

College of Charleston seeks a Transfer Credit Operations Manager to lead all transfer credit activities in the Registrar’s Office. You will evaluate coursework using Ellucian Banner and CollegeSource TES, oversee workflows, and respond to inquiries from students and staff.

Ideal candidates hold a bachelor’s degree with substantial higher education experience, and excellent organizational and communication skills to maintain accurate records and policies.

Responsibilities

  • Manage transfer email inbox and liaison with International Education as needed.
  • Serve as expert resource on transfer policies, FERPA, and institutional procedures.

Job Purpose | The Transfer Credit Operations Manager is responsible for all transfer credit activities in the Registrar’s Office and acts as an expert resource for inquiries from various sources, on and off campus, regarding transfer credit evaluations.

Minimum Requirements | Bachelor’s degree and experience in student services required. Substantial experience in higher education settings desired. Candidates with an equivalent combination of experience and/or education are encouraged to apply.

Required Knowledge, Skills and Abilities | Requires strong organizational and communication skills, as well as ability to represent the institution professionally, with a wide range of individuals, including students, prospective students, professional colleagues, staff, faculty, and parents. Must be highly detail oriented and be able to manage multiple deadlines and high volume work load. Knowledge of best practices in transfer credit evaluation and FERPA regulations helpful. Ellucian Banner experience is desirable. Fluency in international transfer credit is helpful. Should be highly functional with Microsoft Office, basic database, document imaging, internet programs, and electronic file transfer. Requires the ability to initiate and implement programs.

Job Duties
  • Activity | Manages the evaluation process of all transfer credit evaluation activities for incoming students, utilizing Ellucian Banner and imaged document applications. This includes, but is not limited to, the evaluation of new student records (college transcript and Joint Services Transcript reviews, AP, IB, Cambridge International, DSST and CLEP), overseeing workflow of transfer credit evaluation process to assure incoming student evaluations are completed on a timely basis, and working with other campus offices to ensure adequate workflow during peak evaluation periods. Reconciles reports related to transfer credit evaluations.

  • Activity | Manages the evaluation process of transfer credit for graduate and undergraduate post-matriculated students, utilizing Ellucian Banner and imaged document applications. Credit evaluations include, but are not limited to, coursework elsewhere, international/exchange program (Study Abroad), and additional requests submitted by students. Assists students in questions related to the Coursework Elsewhere process and ensures that all forms are completed in the entirety. Communicates any issues to students, faculty, and staff. Liaison with Center for International Education as it pertains to Study Abroad.

  • Activity | Manages the transfer email inbox and responds to emails from students, faculty, and staff as needed. Reviews and processes transfer related forms that are submitted via email. Assists with sending intentional email messages to students as needed.

  • Activity | Acts as faculty liaison with departmental transfer credit evaluators, providing faculty with documentation on newly presented and non-standard courses. Builds transfer inventory (articulation) in Ellucian Banner, and the CollegeSource Transfer Evaluation System (TES), and ensures accuracy. Preserves and catalogs documentation of departmental evaluations, international credential evaluations, credit by exam, and student-provided documentation. Ensures accurate chronological history of institutional transfer credit policy documentation.

  • Activity | Serves as knowledgeable/expert resource to ensure transfer articulations, evaluations, and procedures meet with College of Charleston policy and FERPA regulations, as well as being universal throughout the College. Interprets and participates in decisions regarding the transfer credit processes. Provides expert advice in all areas of undergraduate transfer evaluation procedures, rules and regulations to students, parents, faculty, staff, colleagues from other institutions, and external entities. Communicates both verbally and in writing as appropriate. Conducts one‑on‑one meetings and answers inquiries from incoming and current students, to explain transfer credit evaluations and advise about options. Assists other offices with student‑related events.
