The Role
The Transaction Manager / Coordinator plays a crucial role in overseeing and facilitating the real estate transaction process, ensuring deals close smoothly and maintaining strong relationships with clients, partners, and brokers. You'll provide exemplary support to our high-producing brokerage teams, meet deadlines in a fast-paced environment, and develop effective solutions to challenges. The ideal candidate is reliable, precise, and highly organized, stays calm under deadline pressure, and is trustworthy and adaptable, with a strong ability to multitask, learn quickly, and thrive in a fast-paced, evolving environment.
- Transaction Oversight: Anticipate the team's needs and manage the end-to-end transaction process for multiple concurrent deals, including marketing, supporting negotiations, due diligence, documentation, and closing
- Client Communication: Serve as a key point of contact for clients, owners, property managers, title representatives, lenders, and cooperating brokers, providing timely updates and guidance throughout the transaction lifecycle
- Document Management: Under the supervision of a licensed professional, coordinate the preparation, review, and execution of transaction documents such as Colorado Division of Real Estate forms, listing agreements, contracts, addenda, and letters of intent (license-required tasks are performed by licensed individuals)
- Compliance: Ensure compliance with legal and regulatory requirements and maintain a high ethical standard, using a transaction checklist to keep communication, continuity, and documentation complete
- Reporting: Build and maintain trackers for listings, proposals, sale and lease comparables, broker opinions of value, and closed deals, using the team's CRM or deal-management platform
- Marketing & Document Production: Create, revise, and distribute marketing materials such as offering memoranda, brochures, proposals, maps, aerials, submarket updates, and market analyses, using tools like Buildout, Canva, or Adobe Creative Cloud; produce letters and business correspondence; and coordinate mailings and email campaigns
- Listings & Lead Management: Keep property information current across CoStar, LoopNet, and other platforms, and capture and route leads promptly
- Continuous Improvement: Stay current on industry trends, best practices, and emerging technology, and proactively contribute to process improvements
Qualifications
- Bachelor's degree in business, finance, real estate, or a related field, preferred
- A Colorado real estate license preferred
- One to two years of transaction management or commercial real estate experience
- Proficiency with Microsoft Office (Excel, Word, Outlook); familiarity with Adobe Creative Cloud (InDesign, Photoshop) a plus
- Experience with, or the ability to quickly learn, commercial real estate platforms such as CoStar, Buildout, and LoopNet, and a CRM (Apto, Salesforce, AscendixRE, or similar)
- Excellent verbal and written communication skills
- Detail-oriented, with exceptional organization and time management
- Able to work independently and collaborate effectively within a team
- Strong ethical integrity and a commitment to confidentiality

Compensation & Benefits
- Base salary of $60,000 to $75,000 per year, depending on experience, qualifications, Colorado real estate licensure, and the brokerage team the role supports
- Eligibility for performance-based bonus and/or a share of transaction commissions, depending on the team supported. Variable compensation is not guaranteed and will vary based on team structure, deal volume, and individual performance
