Job summary

AKA Search Group, a real estate investment firm, seeks a Transaction Coordinator to manage real estate deals from signing to closing. You will serve as the central point of contact for sellers, buyers, and title companies, ensuring a smooth, timely process.

Qualifications

  • Manage 35–40 active transactions with clear, consistent communication.
  • Oversee timelines and ensure timely submission of documents, addenda, and signatures.
  • Maintain records in Podio and reference Asana for process tracking; use Scribe for SOPs.
  • Coordinate with dispositions team post-assignment for buyer communications.
  • Track buyer earnest money, contract deadlines, and closing details.
  • Communicate professionally and empathetically with sellers, buyers, and partners.
  • Follow internal investment-style transaction protocols and support process improvements.

Essential Job Functions

As a Transaction Coordinator, you will manage and support all aspects of real estate transactions from the point a deal is signed through to closing. You will be the central point of contact for sellers, buyers, and title companies, ensuring the process runs smoothly and efficiently. This role is critical to managing timelines, facilitating communication, and maintaining accuracy across a high volume of deals.

You will support the acquisitions and dispositions team and be responsible for maintaining system documentation, initiating escrow, coordinating with title and buyers, and managing transaction updates. The role demands attention to detail, emotional intelligence, and a proactive mindset.

Position Responsibilities
  • Conduct thorough handoffs from the acquisitions team and initiate communication with sellers immediately after contracts are signed.
  • Open escrow with title companies and act as the primary point of contact for all transaction parties.
  • Manage active pipeline of 35–40 open transactions, maintaining consistent and clear communication throughout.
  • Oversee transaction timelines and ensure timely submission of documents, addendums, and necessary signatures.
  • Maintain records and task management in Podio while referencing Asana for process tracking and using Scribe for SOP documentation.
  • Coordinate with the dispositions team post-assignment to manage buyer-side communications and expectations.
  • Track and verify buyer earnest money deposits, contract deadlines, and closing details.
  • Communicate with sellers and buyers professionally and empathetically, resolving issues while maintaining positive relationships.
  • Understand and follow the company’s internal protocols for investment-style transactions, including holdbacks, post-possession agreements, and assignment-specific nuances.
  • Support leadership with ongoing process improvement initiatives by documenting and refining operational workflows.
Position Qualifications
  • 3–7 years of transaction coordination or related real estate experience, preferably in investment or wholesale environments.
  • Strong organizational skills and the ability to manage multiple transactions at once without compromising accuracy.
  • Emotionally intelligent and intuitive with a proactive communication style.
  • Not easily flustered, able to work under pressure, and confident in high-volume and fast-paced settings.
  • Experience with Podio (required), Asana, and familiarity with process documentation tools like Scribe is highly preferred.
  • Must be in‑person at the office from 8:30 AM to 5:30 PM with flexibility around lunch as discussed.
  • Excellent written and verbal communication skills, with attention to tone and clarity when interacting with sellers, buyers, and partners.
  • Adaptable to company‑specific procedures with a willingness to learn and grow into more responsibility.
  • Straightforward, results‑oriented personality with the ability to work well under direct and candid leadership.
