Responsibilities

  • Maintain and update Learning Management System (LMS) and course catalogs.
  • Prepare and distribute training materials and evaluations; ensure version control.
  • Track attendance, completions, and certifications; generate training reports.
  • Provide administrative support to trainers and vendors (logistics, invoices).
  • Manage training calendars and resolve scheduling conflicts.
  • Assist with training needs analysis and stakeholder feedback.
  • Troubleshoot learner access to online courses and sessions.
  • Maintain training records per policy and regulatory requirements.
  • Support process improvements and development of new admin procedures.

Position Summary

The Training Administrator provides administrative and operational support for the organization’s learning and development programs. This role ensures the smooth planning, delivery, and tracking of training initiatives so that employees receive high-quality, timely learning opportunities that support business goals and individual development.

Key Responsibilities
  • Coordinate the full lifecycle of training programs, including scheduling sessions, booking rooms/venues or virtual platforms, and managing participant invitations and reminders.
  • Maintain and update the Learning Management System (LMS), including course catalogs, user enrollments, completion records, and reporting.
  • Prepare and distribute training materials, manuals, presentations, and evaluation forms; ensure materials are current and accurately version-controlled.
  • Track attendance, completions, assessments, and certifications; generate regular reports on training metrics and compliance.
  • Provide administrative support to internal trainers and external vendors (logistics, contracts, invoices, evaluations).
  • Manage training calendars and resolve scheduling conflicts.
  • Assist with training needs analysis by collecting feedback, survey data, and stakeholder input.
  • Handle basic troubleshooting for learners accessing online courses or virtual sessions.
  • Maintain accurate training records in compliance with company policy and any regulatory requirements.
  • Support continuous improvement of training processes and contribute to the development of new administrative procedures.
  • Perform other related administrative duties as assigned.
Minimum Qualifications
  • Proven experience in an administrative or coordination role, preferably within Learning & Development, HR, or training.
  • Strong organizational and time-management skills with the ability to handle multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • High attention to detail and accuracy in record-keeping.
  • Proficiency with Microsoft Office Suite (especially Excel, Word, PowerPoint, Outlook) and familiarity with Learning Management Systems (e.g., Cornerstone, Workday Learning, Moodle, or similar).
  • Ability to work collaboratively with trainers, managers, and employees at all levels.
  • Customer-service orientation and a professional, approachable demeanor.
  • Ability to maintain confidentiality of employee and training data.
Preferred Qualifications
  • Experience supporting corporate training or adult education programs.
  • Familiarity with virtual training platforms (Zoom, Microsoft Teams, Webex, etc.).
  • Knowledge of instructional design principles or adult learning theory (basic level).
  • Experience generating reports and analyzing training data.
  • Previous exposure to compliance or mandatory training tracking.
Education & Experience
  • High school diploma or equivalent required; associate’s or bachelor’s degree in Human Resources, Education, Business Administration, or a related field preferred.
  • 1-3 years of relevant administrative or training-coordination experience.
Working Conditions
  • Standard office environment.
  • Occasional flexibility required to support early-morning, evening, or weekend training sessions.
  • May involve light physical activity (setting up training rooms, handling materials).
