Job summary

RoadSafe Traffic Systems is seeking a detail-oriented Project Coordinator to provide administrative and operational support to the Operations Manager and field leadership. You will manage project documentation, scheduling, payroll, billing, purchasing, inventory, and communications to keep projects compliant, organized, and financially accurate from start to finish.

The role requires strong organizational skills, the ability to handle multiple priorities, and excellent communication.

Qualifications

• High School Diploma or GED required.
• Associate's degree in Business Administration, Project Management, Construction Management, or related field preferred.
• Minimum of three (3) years of experience in project coordination, construction administration, operations support, office management, or a related field.
• Experience supporting multiple projects in a fast-paced operational environment.
• Advanced proficiency with Microsoft Excel, Outlook, and Word.
• Experience with ERP, accounting, project management, payroll, or work order software preferred.

Responsibilities

• Coordinate project startup activities, including collecting and maintaining customer contracts, permits, purchase orders, and required project documentation.
• Create and maintain projects, work orders, and customer information within company operating systems.
• Maintain project files throughout the project lifecycle, ensuring documentation is complete and audit ready.
• Assist with scheduling projects, crews, equipment, and materials to support operational efficiency.
• Prepare operational reports, spreadsheets, and performance metrics for branch leadership.
• Monitor administrative processes for accuracy and compliance; ensure documentation meets DOT and contract requirements.
