We are seeking a highly organized and proactive Trade Show Coordinator to support a high-volume events program of approximately 200 annual trade shows and monthly hosted events. This is a coordinator-level contract role suited for someone with hands-on trade show experience, strong logistics capabilities, and the ability to work effectively across internal teams and external agency partners.
This position is fully remote with optional office access in Burlington, Massachusetts or Kansas City.

Key Responsibilities
Primary Responsibilities
- Serve as liaison between internal product marketing teams and the third-party agency team composed of three full-time-equivalent contractors
- Manage inventory of promotional items event collateral booth assets and giveaways
- Coordinate logistics including shipping tracking and resolving delivery issues
- Organize booth staffing schedules show attendance assignments and internal communications
- Support coordination and execution of roughly 200 trade shows annually along with hosted customer events such as receptions and social gatherings
- Assist with booth activation planning designed to increase traffic and engagement
Secondary Responsibilities
- Support lead generation processes and post-event follow-up activities
- Partner with design teams on booth signage promotional materials and collateral
- Perform CRM support in HubSpot or Microsoft Dynamics 365 if applicable to skill set
Required Skills and Qualifications
Must-Have Qualifications
- Hands-on trade show experience with clear understanding of common issues and troubleshooting practices
- Experience with hosted events including receptions and social gatherings
- Strong project management and prioritization skills with the ability to manage multiple events simultaneously
- Strong interpersonal communication and follow-up abilities
- Resourceful problem-solving skills and attention to detail
Nice-to-Have Qualifications
- Creative thinking with ability to recommend improvements and engagement strategies
- Experience with HubSpot or Microsoft Dynamics 365 including forms landing pages and CRM workflows
- Experience working with or supporting a third-party agency
- Flexibility to work outside traditional business hours when urgent event needs arise

- The portfolio consists of approximately 200 trade shows per year with dozens occurring monthly
- The coordinator works alongside a team from an external agency for event execution
- Minimal travel expected since external labor teams handle booth installation and teardown
