Primoris Services Corporation is seeking a Toll Management and Titles & Registration Coordinator to support daily administration of toll, vehicle titles, and registration for the fleet assets. This role collaborates with internal stakeholders, vendors, and state agencies to ensure compliance and accurate records across systems.
Responsibilities include managing toll accounts, vehicle enrollments, title processing, and coordination with DMV locations.
The Toll Management and Titles & Registration Coordinator is responsible for supporting the daily administration of toll, vehicle titles, and registration management activities for the company's fleet assets. This position serves as a key operational resource and provides cross-functional support to ensure continuity of business operations across both the Toll Management and Titles & Registration functions. The coordinator works closely with internal stakeholders, fleet personnel, vendors, state agencies, toll authorities, and fleet management partners to ensure assets remain compliant, properly registered, and accurately maintained within company systems. This role requires strong organizational skills, attention to detail, customer service, and the ability to manage multiple priorities in a fast-paced environment.
Toll Management & Coordination Administer fleet toll accounts, transponders, and account maintenance activities. Enroll vehicles into toll systems and manage transponder assignments and inventory. Review toll transactions, exceptions, violations, and billing discrepancies for accuracy. Investigate and resolve toll violations and support dispute management with toll authorities and vendors. Maintain accurate toll-related asset data and ensure fleet records remain current. Produce monthly toll reporting, cost allocations, and invoice validation activities. Coordinate with toll service providers and fleet partners to address operational issues and service requests. Support initiatives focused on reducing toll violations, unnecessary fees, and billing errors.
Titles & Registration Administration Process vehicle titles, registrations, renewals, transfers, replacements, and related documentation including driving to various DMV locations as needed. Mileage is reimbursed at the current IRS standard rates. Coordinate title and registration activities for newly acquired, transferred, relocated, and disposed fleet assets, Prepare and submit required documentation to state agencies, vendors, leasing companies, and internal stakeholders. Monitor registration expiration schedules and renewal timelines to ensure compliance and minimize operational disruptions. Maintain accurate title, registration, plate, and permit records within fleet management systems. Assist in the management of IFTA, HVUT, IRP, MCCS, UCR, and other regulatory vehicle credentials as assigned. Research and resolve title, plate, registration, and credential discrepancies. Support audits and compliance reviews by maintaining complete and organized documentation.
Operational Support & Backup Coverage Provide backup support for Titles & Registration and Toll Management functions during employee absences, vacations, workload fluctuations, or special projects. Crosstrain on departmental processes and procedures to ensure operational continuity. Support department initiatives related to process improvements, documentation, and workflow standardization. Assist with special fleet administration projects, data analysis, reporting, and system updates as requested. Identify process improvement opportunities and recommend solutions that improve efficiency, accuracy, and customer service.
Customer Service & Stakeholder Support Serve as a point of contact for field operations, fleet personnel, vendors, and internal business partners. Respond to inquiries regarding title, registration, licensing, credentialing, and toll-related matters. Communicate effectively with stakeholders regarding status updates, requirements, and issue resolution. Build strong working relationships with internal and external partners to support operational success.
Associate degree in Business Administration, Operations, Finance, or a related field preferred; equivalent work experience may be substituted. Two or more years of experience in vehicle title and registration administration, fleet operations, toll management, or related administrative functions. Experience working with state DMV processes, vehicle registration requirements, or fleet administration operations preferred. Strong computer skills, including Microsoft Excel, Word, Outlook, and database systems. Excellent organizational, customer service, and problem-solving skills. Ability to prioritize workload and manage multiple tasks simultaneously. Strong attention to detail and accuracy. Effective verbal and written communication skills. Clear driving record and reliable mode of transportation.
Experience with fleet management systems such as AssetWorks or similar platforms. Knowledge of commercial vehicle registration requirements, credentials, and compliance programs. Experience with toll administration, account management, and invoice reconciliation. Fleet industry experience.
Reduction in toll violations and unresolved exceptions. Timely completion of title, registration, renewal, and credential transactions. Accurate maintenance of fleet title, registration, plate, and toll records. Timely resolution of stakeholder requests and operational issues. Effective coverage and continuity during staff absences and workload surplus.
