Job summary

Compass International Holdings seeks an organized Title File Assistant to support the Title Officer from opening through successful closing. You will respond to inquiries, ensure CORE data accuracy, and coordinate with Escrow and Title teams to maintain timely records.

The role requires 3+ years in title customer service or 1 year on a title unit, proficiency with Excel/Word, and excellent communication. Strong detail orientation and deadline-driven work are essential.

Qualifications

  • High School Diploma or GED or equivalent work experience.
  • Minimum 3 years of customer service in title industry or 1 year in a title unit.
  • Experience operating office equipment and Microsoft Excel/Word.
  • Excellent verbal and written communication and strong interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Ability to meet deadlines and follow departmental procedures.

Responsibilities

  • Responding to incoming requests/inquiries from internal and external customers.
  • Accurately input the information into CORE that is given to the unit by the customer.
  • Taking ownership of issues/problems arising from the title file.
  • Processing supplements per department guidelines.
  • Ensuring the accuracy of all abstracted documents.
  • Take instructions from Escrow for recording, abstracting documents, demands, and verifying Lenders Instructions to close the title file.
  • Ensure that all money to close the file is received and there is enough money to close.
  • Ensure timely records in CORE based on customer requirements.
  • Open all mail and route to Title Officer; copy mail to be abstracted.
  • Close out the title file in CORE upon confirmation.
  • Fax or email confirmation to customers upon receipt of final confirmation from Hall Of Records.
  • Maintain good relations with internal/external customers via email/phone with prompt response.
  • Be responsive to customer inquiries in a professional and proactive manner.
  • Build effective relationships with Escrow, Title, and Sales through excellent service.

Job description

The ideal candidate will use a team approach to effectively assist the Title Officer manage the title file from the opening process through the successful closing.

Job responsibilities
  • Responding to incoming requests/inquiries from internal and external customers.
  • Accurately input the information into CORE that is given to the unit by the customer.
  • Taking ownership of issues/problems arising from the title file.
  • Processing supplements in a timely manner in which is determined by department guidelines.
  • Ensuring the accuracy of all abstracted documents.
  • Accurately take instructions from Escrow for recording, abstracting documents, demands, and verifying Lenders Instructions to close the title file.
  • Ensuring that all money that is required to close the file has been received by payoff, and that there is enough money to close the title file.
  • Ensuring that the title file records in a timely manner based on the customer’s requirements.
  • Opens all mail and give Title Officer their mail, copy any mail that needs to be abstracted (I.e., demands, documents).
  • Accurately closes out the title file in the CORE system upon confirmation.
  • Faxes or e-mails confirmation to customers upon receipt of final confirmation from the Hall Of Records.
  • Maintains good relations with internal and external customers via e-mail/phone communication with prompt response.
  • Be responsive to all customer inquiries in a professional and proactive manner.
  • Builds effective internal and external relationships with Escrow, Title, and Sales through the delivery of truly remarkable service.
Job Requirements
  • High School Diploma, GED or equivalent work experience.
  • Minimum 3 years of customer service experience in title industry or 1-year minimum experience on a title unit.
  • Must be able to operate various office equipment such as copier, fax machine, printer. Working knowledge of Microsoft Excel and Word.
  • Excellent verbal/written skills along with strong interpersonal skills are required.
  • Ability to deliver superior customer service required.
  • Must have high level of organization and strong attention to detail.
  • Must have ability to consistently meet deadlines, demonstrate strong follow through, and to follow departmental procedures.
