Otis Elevator Company is searching for a highly motivated Violations & Testing Scheduler. The Testing Scheduler is responsible for planning, coordinating, confirming, documenting, and maintaining required elevator testing schedules.

The role coordinates with customers, third-party witnesses, consultants, CRMs, supervision, DOB requirements, and the field organization to ensure mandated testing is planned, confirmed, communicated, and ready for execution.

On a typical day you will: Plan required testing: Review upcoming Category 1, Category 5, periodic inspections, and re-inspections; monitor testing windows and deadlines; identify priorities, customer restrictions, access requirements, overtime needs, and special conditions; and maintain the Testing Planner and Testing Schedule. Coordinate customers and third-party witnesses: Establish available testing dates, coordinate customer requirements and priorities, arrange dates with third-party witnesses, place tentative holds while coordination is underway, and follow up on outstanding customer responses with the CRM involved as needed. Build and maintain the testing schedule: Enter proposed work into the planning schedule, transfer confirmed work to the appropriate weekly schedule, record pertinent testing information, and update the schedule as customer or operational requirements change. Confirm work before execution: Obtain final customer and third-party witness confirmations, send advance reminders, keep the Testing & Violations superintendent, CRM, and appropriate service personnel informed, and coordinate with supervision so scheduled work aligns with available manpower and operational capacity. Support compliance and accurate records: Track testing and inspection deadlines, maintain accurate scheduling and compliance information, and coordinate DOB-required testing for timely completion. Manage recurring schedule communication: Prepare the weekly scheduling review agenda, review schedules with the Testing & Violations.

What you will need to be successful

Manage the administrative process specifically related to the testing and violations process Coordinate high volume testing with multiple 3rd party jurisdictions to ensure on time completion of all required tests Assist the Violations Manager in all aspects of the testing and violations process Work closely with the service supervisors and mechanics to achieve goals Ensure timely testing and clearing of violations, manage the paperwork associated with the filing process & understand the Department of Buildings process

Basic Qualifications

Ability to work in a highly team-oriented and dynamic environment Candidate must demonstrate strong written and verbal communication skills to effectively develop expectations and relationships with internal and external customers Needs to be self-motivated and able to manage many simultaneous projects and responsibilities Successful candidate should be very comfortable in a technical environment utilizing Microsoft based computer software Goal-orientated with strong time management and organizational skills

Preferred Qualifications

Prior experience working with the Department of Buildings preferred

The salary range for this role is $65,000 - $90,000. We may ultimately pay more or less than the posted range, and the range may change in the future. Pay within the salary range will be based on several factors including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organizational needs.
