VIVA USA Inc in Cambridge, MA is seeking a Testing Center Specialist to oversee exam accommodations for qualified students. You will coordinate with the Registrar’s Office and Disability Access Office to plan and implement accommodations and support day-to-day testing operations.

Responsibilities include greeting visitors, scheduling exams, proctoring, managing exam rooms, handling front desk duties, and maintaining accurate records while ensuring confidentiality and exceptional customer service.

Qualifications

  • Graduation from high school or its equivalent.
  • One year of academic experience.
  • One year of administrative experience.
  • One year of customer service experience.

Responsibilities

  • Greet and welcome visitors and direct them to the appropriate location.
  • Coordinate higher-need and complex testing accommodations for students.
  • Collaborate with the Disability Access Office, Registrar’s Office, and other campus partners to plan, implement, and troubleshoot higher-need testing accommodations.
  • Coordinate technology and special formats for exams through the Testing Center.
  • Assist with scheduling and administration of exams.
  • Understand and maintain testing policies and procedures for all assessments administered.
  • Effectively communicate with students and faculty.
  • Provide support for testing center exam management system to faculty and students.
  • Assign exam spaces to students and manage resource allocation effectively.
  • Perform administrative tasks including answering phone calls, distributing mail, organizing exam folders, and other related duties.
  • Organize completed exams and coordinate exam pickups with faculty.
  • Directly proctors exams when needed.
  • Monitor test rooms during the administration of exams.
  • Address and resolve questions or concerns regarding accommodations during exams.
  • Collect, check, and count completed exams.
  • Other duties as required.

Education

High school diploma or equivalent

Job description

Organizes and implements administrative systems and procedures. Serves as principal source of information on unit, project or program. Gathers and maintains data for and assists in preparing reports, often using a variety of computer software. Prepares and maintains financial, personnel, administrative, student records. Provides for smooth day to day flow of communications within the department. May compose, proofread, edit and prepare correspondence, reports and other materials using word processing, spreadsheets and or databases. Arranges for use of facilities and plans meetings, conferences and seminars. Contributes to unit goals by accomplishing clerical or administrative duties as required. Ability to work independently with minimal supervision, to handle complex and confidential information. Competency using a variety of office computer software. Requires intermediate to advanced knowledge of email calendar, word processing, spreadsheets. Prior office experience required.

The Testing Center Specialist will work closely with the Registrar's Office and other affiliated offices to oversee and implement exam accommodations for qualified students with registered testing accommodations. The Specialist will serve as the primary point of coordination for students with higher-need and complex testing accommodations, working collaboratively with campus partners to ensure appropriate planning, communication, and support. The Specialist provides coverage for essential functions to support the day-to-day operations of the testing center including handling front desk and check-in desk responsibilities and provide customer service to students and staff, space assignments, exam scheduling, exam packet preparation, proctoring exams, and related duties as required.

Required Qualifications:

Work schedule: 9:00 AM – 5:00 PM, M-F on site (excluding client holidays)
