Position Summary
The Territory Support Specialist provides administrative, coordination, and operational support to the Business Development team. This position assists Business Development Managers with managing opportunities, preparing bids and proposals, coordinating calendars and meetings, tracking deadlines, and facilitating communication between Business Development and internal teams, including Engineering, Estimating, Project Management, and Production.
The Territory Support Specialist plays an important role in keeping information organized, maintaining visibility of active opportunities, and ensuring that required information and action items are communicated and followed up on throughout the business development and pre-construction process.
Essential Duties and Responsibilities
- Provide administrative and coordination support to Business Development Managers, including organizing information, preparing documents, tracking assignments, and following up on outstanding items.
- Maintain accurate records of prospects, opportunities, bids, proposals, customers, and project information within company systems, trackers, and shared files.
- Assist with the preparation, organization, and submission of bids, proposals, qualifications packages, presentations, and related business development materials.
- Track bid opportunities, submission deadlines, addenda, RFIs, required documentation, and other key dates, and communicate upcoming deadlines to the appropriate team members.
- Coordinate calendars, meetings, site visits, presentations, bid reviews, customer meetings, and internal coordination meetings for Business Development Managers and cross-functional teams.
- Coordinate with Engineering, Estimating, Project Management, Production, and other departments to gather information, documentation, pricing inputs, schedules, drawings, specifications, and other materials needed to support opportunities and bids.
- Prepare meeting agendas, notes, action-item lists, and follow-up communications; maintain visibility of assigned action items and follow up with responsible parties as needed.
- Assist Business Development Managers with customer, general contractor, architect, school district, government agency, and other stakeholder communications, including scheduling and providing requested documentation.
- Support the transition of awarded projects from Business Development and Estimating to Project Management and Operations by organizing and coordinating the transfer of relevant project information and documentation.
- Prepare and maintain spreadsheets, reports, pipeline trackers, presentations, and other materials used to communicate the status of business development activities and opportunities.
- Maintain organized electronic and physical records, including bid documents, proposals, correspondence, meeting materials, and other business development documentation, while protecting confidential company and customer information.
- Perform other administrative, coordination, and business development support duties and special projects as assigned.
Required Qualifications
- 3+ years of experience in administrative support, sales support, business development, project coordination, construction administration, or a related field.
- Strong organizational and time-management skills.
- Ability to manage multiple priorities, deadlines, and requests in a fast-paced environment.
- Strong written and verbal communication skills.
- High attention to detail and accuracy.
- Ability to effectively follow up with internal and external stakeholders.
- Proficiency with Microsoft Office, including Outlook, Excel, Word, and PowerPoint.
- Ability to learn and effectively use company systems and software.
Preferred Qualifications
- Experience in construction, modular construction, manufacturing, architecture, engineering, estimating, or project management.
- Experience supporting a Business Development, Sales, Estimating, or Preconstruction team.
- Familiarity with construction bids, proposals, drawings, specifications, or project documentation.
- Experience with Procore, NetSuite, Microsoft Project, CRM platforms, or similar systems.
- Experience working with general contractors, architects, school districts, government agencies, or other construction-related clients.
Work Environment & Physical Requirements
- Primarily office-based with regular interaction with Business Development, Engineering, Estimating, Project Management, Production, and other departments.
- May occasionally visit construction sites, manufacturing facilities, client locations, or other business-related locations.
- Must follow applicable safety requirements and PPE requirements when entering construction or production areas.
- Ability to sit and work at a computer for extended periods and frequently use standard office equipment.
- Ability to communicate effectively by telephone, email, video conference, and in person.
Compensation
Salary Range: $31-$34 per hour, commensurate with qualifications and experience. Final compensation will be determined based on a variety of factors, including skills, relevant experience, internal equity, and market conditions.
