Job Summary

The Program Coordinator provides administrative and accounting support to the Senior Program Coordinator and helps to ensure the organization's day-to-day financial records and processes are accurate, organized, and up to date. This position assists with accounts payable, financial recordkeeping, documentation, and other routine finance-related responsibilities as needed as well as donor data and development support.

Key Responsibilities
  • Assist the FIU ASAS Senior Program Coordinator with day-to-day accounting and financial administrative tasks.
  • Process and track invoices, payments, reimbursements, and other expenses.
  • Assist with accounts payable
  • Enter and maintain accurate financial information in the organization's accounting system.
  • Organize and maintain financial records, receipts, invoices, contracts, and supporting documentation.
  • Help track payments, outstanding balances, deposits, and other financial transactions.
  • Assist with tracking grant and program expenses to ensure costs are properly documented
  • Maintain confidentiality of financial, employee, donor, and organizational information.
  • Assist the Senior Program Coordinator with other financial and administrative duties as assigned.
  • Other tasks may include sending out staff Meeting Agenda for the bi-weekly calls, answering phone calls, and helping Program Director (s) with operational tasks for FIU ASAS Programs.
  • Assist with event planning/coordination and execution.
  • Donor Data and Development Support
  • Manage and maintain the organization's donor CRM/database, ensuring accurate and up-to-date donor records, gifts, and contact information.
  • Process donor acknowledgments, including weekly thank-you letters (often system-generated), annual/end-of-year giving letters, and other donor correspondence.
  • Prepare donor, fundraising, and contribution reports as needed and assist with maintaining accurate records for reconciliation with Finance.
  • Provide administrative and logistical support to the Director of Development and Marketing for fundraising events, campaigns, donor communications, and other development activities & tasks.
Minimum Qualifications
  • Bachelor's degree; OR four (4) years of office or related experience; OR an equivalent combination of relevant education and/or experience.
  • Positions under National Forensic Science Technology Center will require Bachelor's degree in an appropriate area of specialization in related field; OR an equivalent combination of relevant training and/or military experience.
