Qualifications

  • High school diploma or GED with five years of office or related administrative experience.
  • Bachelor's degree with two years of appropriate experience.
  • Ability to work occasional evenings and weekends for recruitment events and program activities.

Responsibilities

  • Supports student recruitment, enrollment, orientation, and outreach activities at assigned schools and community locations.
  • Assists with the coordination, scheduling, and implementation of new and ongoing academic and student programs or services.
  • Establishes and maintains effective communication with students, parents, school administrators, counselors, teachers, and other designated school contacts.
  • Provides administrative and operational support and assists with planning and coordinating workshops, presentations, orientations, college preparation activities, career exploration programs, and other student services.
  • Assists with course scheduling, room reservations, transportation coordination, programming, recruitment materials, and other logistical needs.
  • Collects and maintains accurate student records, program files, attendance records, recruitment information, and other required documentation.
  • Assists with preparing program reports, spreadsheets, presentations, and other documentation required for internal, institutional, state, federal, or grant reporting.
  • Monitors the status of assigned projects and activities and communicates updates, concerns, and needs to program leadership.

Job Summary

The Academic Program Assistant provides administrative, academic, and operational support to the Pre-College Office and its programs. This position assists with the coordination and implementation of academic, student development, college preparation, career exploration, recruitment, and outreach activities. The Academic Program Assistant serves as a key point of contact for students, parents, school personnel, and program staff and assists in ensuring the effective delivery of Pre-college programs and services.

Duties Include
  • Supports student recruitment, enrollment, orientation, and outreach activities at assigned schools and community locations.
  • Assists with the coordination, scheduling, and implementation of new and ongoing academic and student programs or services.
  • Establishes and maintains effective communication with students, parents, school administrators, counselors, teachers, and other designated school contacts.
  • Provides administrative and operational and assists with planning and coordinating workshops, presentations, orientations, college preparation activities, career exploration programs, and other student services.
  • Assists with course scheduling, room reservations, transportation coordination, programming, recruitment materials, and other logistical needs.
  • Collects and maintains accurate student records, program files, attendance records, recruitment information, and other required documentation.
  • Assists with preparing program reports, spreadsheets, presentations, and other documentation required for internal, institutional, state, federal, or grant reporting.
  • Monitors the status of assigned projects and activities and communicates updates, concerns, and needs to program leadership.
  • Performs other related duties as assigned in support of the goals and objectives of the Pre-College Office.
Minimum Qualifications
  • High school diploma or GED and five (5) years of office or related experience providing administrative support, or coordinating functions of an office or department.
  • Bachelor's degree and two (2) years of appropriate experience,
  • Ability to work occasional evenings and weekends for recruitment events and program activities.
Desired Qualifications
  • Experience working in a college access, TRIO, GEAR UP, Upward Bound, Talent Search, or other pre-college program -
  • Experience working directly with K-12 schools, school districts, counselors, administrators, and community-based organizations.
