Temporary Project Coordinator
About the Role

We are seeking a highly organized, proactive Project Coordinator to support a busy marketing team with day-to-day project management, workflow coordination, and operational execution. This is primarily a project coordination role focused on keeping projects organized, managing timelines, facilitating communication, and ensuring deliverables move efficiently from kickoff through final approval.

You will work closely with marketing leadership and cross-functional teams, including creative, content, digital, and website stakeholders. The ideal candidate is comfortable managing multiple projects at once, maintaining project tracking systems, coordinating meetings, following up on outstanding tasks, and identifying potential delays before they become issues.

This is an excellent opportunity for someone who enjoys bringing structure to fast-paced environments, keeping teams aligned, and making sure projects stay on track. Marketing experience is helpful, but strong project coordination and workflow management skills are the primary focus.

Responsibilities
  • Coordinate multiple projects simultaneously, tracking timelines, milestones, deliverables, dependencies, and deadlines.
  • Organize and facilitate project kickoffs, status meetings, planning sessions, and recurring team meetings.
  • Prepare meeting agendas, document notes and decisions, track action items, and follow up with stakeholders to ensure completion.
  • Maintain and update Asana or similar project management platforms, including creating tasks, assigning ownership, updating statuses, and monitoring progress.
  • Manage project intake and help prioritize incoming requests based on deadlines, resources, and team capacity.
  • Coordinate cross-functional communication to ensure stakeholders understand project expectations, responsibilities, and timelines.
  • Monitor project schedules, identify potential bottlenecks or resource conflicts, and elevate risks to leadership as needed.
  • Manage review and approval workflows, routing materials to the appropriate stakeholders and tracking feedback, revisions, and final sign-off.
  • Provide regular project status updates to marketing leadership and maintain visibility into upcoming priorities.
  • Maintain accurate project documentation and ensure completed projects, final deliverables, and supporting materials are properly archived.
  • Respond to internal stakeholder inquiries regarding project status, timelines, and workflow processes.
  • Support campaign planning and execution by coordinating schedules, deliverables, and communication across participating teams.
Qualifications
  • Previous experience in project coordination, project management, program coordination, operations, or a similar role.
  • Experience managing multiple projects, deadlines, and competing priorities simultaneously.
  • Proficiency with Asana or comparable project management tools such as Monday.com, Smartsheet, Wrike, Trello, or ClickUp.
  • Strong organizational skills and exceptional attention to detail.
  • Experience coordinating meetings, documenting action items, and managing stakeholder follow-up
