Temporary Construction Services Specialist, Part-time

How You'll Contribute to the Team:

The Temporary Construction Services Specialist facilitates and provides administrative and technical support for all preconstruction, construction, project controls, and closeout processes. This is a part-time, temporary assignment that will last 4-6 months and will average 20 hours per week.

Primary Responsibilities Include:

  • Provide administrative and technical support to preconstruction and postconstruction processes.
  • Facilitate in the creation of Project Management Documents, Maintenance, and Utilization and maintain document control and storage in accordance with SOPs, as well as, manage Stakeholder Register maintenance and Vendor database.
  • Provide information and research for Project and Program Budget Creations.
  • Create, run, distribute and follow-up as needed on monthly delivery reports (Delivery reports, outstanding commitments, COs, etc.), as well as, manage data compilation for Scope reviews and acceptance criteria evaluations.
  • Ensure and promote policy compliance for contracts, documents, systems and procedures.
  • Facilitate contract processes and tracking and execute annual compliance reviews.
  • Participate in plan development activities, plan archiving and progression file organization, as well as, assist with the submittal process and ensure all documents are tracked.
  • Participate in Cost Management by working with order creation, budget reallocations, change order cost allocations, commitment creations and closeout.
  • Facilitate Project Procurement management, originate and expedite Change Orders, and monitor contract compliance.
  • Participate and develop content for Program, project, and contractor communication plans as needed.
  • Work with accounting, construction, and safety to manage all documents that are required to be turned in by the subcontractor to receive timely payment (waivers, safety sheets, change orders, etc.).
  • Maintain documents for Program closeout process, as well as, review timelines and ensure and review project buyouts and commitments are executed in timely and consistent manner.
  • Other duties as assigned.

Role Specific Requirements Include:

  • Bachelor's degree is preferred for this role, though the equivalent professional experience will be considered
  • 5+ years' experience in an administrative or support position
  • 5+ years' experience in building construction and/or renovation or conducting code compliance reviews of buildings and of building systems (i.e. plumbing, structural, electrical, and mechanical)
  • Proficiency in all MS Office programs and also a strong knowledge of Sage-Timberline is preferred
  • Ability to establish and maintain effective working relationship with peers, trades, government officials and the public
  • Demonstrated knowledge and skill of accounting procedures
  • Construction contracting experience
  • Strong organizational skills and proven success in meeting set schedules and deadlines
  • Excellent organizational skills

  • Strong technical writing and communication skills
  • Consistent and professional interaction and communication with clients and project team
  • Proficiency in Project Management Software (Sage TL, Microsoft Project, Smartsheet, MS Office)
