University Relations Coordinator - R46183
Position Description: The University Recruiting Coordinator supports end-to-end early talent hiring and programming from applicant screening and interview logistics through onboarding tracking and summer program execution. This role partners closely with our University Relations Managers, HR Operations, IT, and campus ambassadors to keep candidate throughput high, data accurate in Workday and Modern Hire, and intern/co‑op experiences consistent and engaging.
Roles Responsibilities
- Candidate screening and selection
- Review and disposition candidates in Modern Hire; maintain the MH tracker to ensure timely movement through the funnel.
- Conduct application reviews and prepare Workday resume bundles and hiring manager master spreadsheets.
- Build interview days/schedules; coordinate candidate and interviewer availability, including scheduling with NC3.
- Initiate background checks and collaborate with HR Operations and IT to track onboarding statuses through completion.
- Program communications and community
- Run Campus Ambassador Program communications, newsletters, tracking, competitions/raffles, swag, and monthly check‑ins.
- Manage TLC communications: newsletters, LinkedIn group, monthly calls, What to Expect sessions, swag coordination, and welcome pack tracking.
- Monitor team mailboxes and general correspondence, triage inquiries, and uphold SLA response times.
- Maintain Intern Teams page content for clarity and freshness.
- Systems, data, and process administration
- Build EIB spreadsheets and perform Workday data validation to ensure accurate pipelines and reporting.
- Maintain Intern/Co‑Op request tracker; create evergreen requisitions; create/link jobs in Modern Hire to Workday reqs.
- Contribute to project team workstreams focused on workflow improvements and documentation.
- Summer programming and events logistics
- Partner with Facilities on space planning, room booking, shuttle schedules, room setup, or tenting as needed.
- Track projected costs; manage catering/food orders and vendor timelines.
- Support physical setup for events (e.g., GetConnected build‑outs and décor); travel to alternate sites as required.
- Meetings and trainings
- Participate in weekly UR touch bases and general team meetings.
- Complete SOP and Talent Hub trainings
Skills
- Applicant tracking and HRIS tools (Workday), digital interviewing platforms (Modern Hire), and scheduling systems.
- Advanced spreadsheets for trackers and EIB templates; comfort with data validation and reconciliation.
- Strong written communication for newsletters and stakeholder updates; proficiency with Microsoft Teams/SharePoint or similar.
- Exceptional organization, attention to detail, and stakeholder management; ability to manage seasonal peaks.
Education
- Bachelor’s degree or equivalent experience in Human Resources, Business, or related field.
