Job summary

Aaru Inc. in New York is seeking a Recruiting Coordinator to own the end-to-end candidate experience, making every interaction feel seamless, human, and high-touch.

You’ll coordinate interviews across calendars, time zones, and competing priorities, keeping the process moving at speed. You will partner with recruiters, interviewers, and hiring managers, operate independently in ambiguity, and drive projects to scale our recruiting processes.

Qualifications

• 2–4 years of recruiting coordination experience in fast-paced environments.
• Ability to operate in ambiguity and take initiative.
• Exceptional organizational skills and ability to juggle multiple priorities.
• Strong verbal and written communication, with proactive follow-through; ATS experience (Ashby preferred).

Responsibilities

• Own end-to-end candidate experience from first touch to final decision.
• Coordinate and schedule interviews across calendars, time zones, and priorities.
• Partner with recruiters, interviewers, and hiring managers to streamline processes.
• Operate independently in ambiguity, spotting gaps and creating structure.
• Identify and drive projects to scale recruiting processes.
• Manage logistics, administrative tasks, and ad-hoc recruiting support.
• Raise the bar on candidate and stakeholder experience.

What you’ll do

• Own the end-to-end candidate experience, making every interaction from first touch to final decision, feel seamless, human, and high-touch
• Coordinate and schedule interviews across complex calendars, time zones, and competing priorities, keeping things moving at speed
• Serve as a trusted partner to recruiters, interviewers, and hiring managers, anticipating needs, communicating proactively, and making their jobs easier
• Operate independently in ambiguity: spot gaps, make judgment calls, and create structure where none exists yet
• Identify, initiate, and drive projects that improve and scale our recruiting processes as the team grows
• Manage logistics, administrative tasks, and ad-hoc recruiting support with accuracy and urgency
• Continuously look for ways to raise the bar on both the external candidate experience and the internal stakeholder experience

What you bring

• 2–4 years of experience as a Recruiting Coordinator, ideally in a fast-paced or high-growth environment
• Comfort operating in ambiguity. You take initiative, make decisions with incomplete information, and won’t wait to be told what to do
• Exceptional organizational skills and the ability to juggle multiple priorities simultaneously without losing the thread
• Strong verbal and written communication skills, with proactive, clear, and warm follow-through
• Proficiency with various ATSs (Ashby preferred)
