Job summary

Mauldin & Jenkins, LLC in Baton Rouge, LA is seeking a Tax Administrative Assistant to support both Louisiana offices. The role requires meticulous organization, excellent communication, and the ability to multitask in a deadline-driven environment.

You will handle tax document management, filing, and client communications with confidentiality. The ideal candidate is proficient in Microsoft Office, Google Workspace, and Adobe Acrobat, with exposure to tax processes.

Qualifications

• Proficiency with Microsoft Office (Word, Excel, PowerPoint).
• Proficiency with Adobe Acrobat (creating and editing PDF files).
• Proficiency with Google Workspace (Gmail, Drives, Docs, Sheets, Calendar).
• Experience in public accounting or professional services preferred but not required.
• Willingness to learn other proprietary software (CCH Axcess, CCH Workflow, SafeSend, SurePrep/Tax Caddy).
• Ability to organize, prioritize and meet deadlines in a fast-paced environment.
• Flexibility to work additional hours during busy seasons.

Responsibilities

• Print, assemble, bind and/or proof various tax returns after staff preparation.
• E-file returns and coordinate receipt of authorization forms.
• Organize, scan, monitor and manage client tax documentation.
• Manage processes in SurePrep/Tax Caddy with clients and executives.
• Prepare and/or proof engagement letters and other tax correspondence.
• Process paper tax organizers as requested.
• Assist with other tax processes like new client setup and updating client info.
• Prepare mailings by FedEx, UPS, and certified mail.
• Other administrative duties as needed.
