Job summary

Mauldin & Jenkins, LLC in Baton Rouge seeks a Tax Administrative Assistant to support two Louisiana offices. The role requires meticulous multitasking, strong communication, and confidentiality in a deadline-driven environment.

Key duties include preparing and proofreading tax returns after staff, e-filing, organizing client documents, coordinating with SurePrep/Tax Caddy, drafting engagement letters, handling mail and shipments, and performing other admin tasks.

Qualifications

• Proficiency in Microsoft Office, Adobe Acrobat and Google Workspace.
• Experience in public accounting or professional services is preferred but not required.
• Willingness to learn additional proprietary software (CCH Axcess, CCH Workflow, SafeSend, SurePrep/Tax Caddy).
• Ability to organize, prioritize and meet deadlines in a fast-paced environment.

Responsibilities

• Print, assemble, bind and proof tax returns after staff preparation.
• E-file returns and coordinate authorization forms.
• Organize, scan, and manage client tax documentation (paper or electronic).
• Manage processes in SurePrep/Tax Caddy with clients and Client Executives.
• Prepare and proof engagement letters and other IRS communications.
• Process paper tax organizers as requested.
• Assist with client setup and updating client information.
• Prepare shipping via FedEx, UPS, and Certified Mail.
• Perform additional administrative duties as needed.
