Job description

We’re in search for a friendly and detail-oriented Tasting Room & Back Office Associate to join our team Sundays-Thursdays! In this role, you’ll be the welcoming face for visitors in our tasting room while also managing essential back-office tasks to keep our operations running smoothly. ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Ensure that all guests are greeted immediately upon entry to the tasting room and provided with experiences that build brand loyalty.
  • Communicate in a knowledgeable, professional, and gracious manner to all guests who visit.
  • Share appropriate information and educate guests about the wines, brand history, sister wineries, and lodging properties.
  • Promote the sale of wine products, actively pursue sales opportunities, and encourage customers to join the wine club.
  • Serve wine samples to guests in both individual and group settings, ensuring a high standard of service.
  • ID guests to ensure they are of legal age to consume alcohol.
  • Accurately operate POS systems to process sales and maintain inventory.
  • Perform opening and closing duties, including cash handling and securing the premises.
  • Ensure the tasting room and surrounding areas are clean and presentable.
  • Assist with the coordination of special events and off-site tasting activities.
  • Work independently and as part of a team.
  • Answer incoming phone calls and address customer inquiries.
  • Work with the Wine Club Coordinator and Shipping & Inventory Coordinator to manage pickup orders.
  • Contact members with pending pickups via email and phone and ship out orders that are unclaimed.
  • Resolve customer shipping and logistics issues.
  • Manage the customer database, ensuring the distribution lists and customer contact information are up-to-date.
  • Coordinate with the Sales Manager on timely execution of futures orders.
  • Assist in maintaining social media sites by creating and posting relevant content.
  • Run general errands for event set-up, supply needs, cash drops, and bank change.
  • Schedule tasting reservations and prepare marketing collateral for guests.
  • Help maintain website and process e-commerce customer orders.
  • Prepare reports as needed.
  • Keep order and tasting email accounts updated.
  • Assist with the planning and execution of various administrative tasks.
  • Update, print, and display promotional materials and email campaigns.
  • Edit, print and distribute flight sheets and order forms as needed.
  • Assist the Wine Club Coordinator with wine club processing.
  • Perform other duties as assigned.
MINIMUM QUALIFICATIONS:
  • Must be at least 21 years of age.
  • Current Responsible Beverage Server Certification.
  • First-hand knowledge and passion for wine, winemaking, and wine-related topics.
  • Strong interpersonal and communication skills, with the ability to build rapport quickly, ask for, and close sales.
  • Available to work weekends, evenings, holidays, and extended hours as needed.
  • Strong time management and multitasking abilities, with acute attention to detail.
  • Valid Class C driver's license, insurable/acceptable driving record, and reliable transportation.
  • Self-motivated with a high level of accountability and productivity.
  • Ability to remain calm and professional under pressure.
  • Excellent time management skills.
  • Must present and maintain professional appearance and demeanor.
EDUCATION/EXPERIENCE:
  • High School Diploma or GED required; Associate’s or Bachelor’s degree preferred.
  • Minimum of one year of proven experience in the same or similar role in the wine industry.
LANGUAGE SKILLS:
  • Fluent in English in both oral, type, and written formats. Multi-lingual preferred.
  • Able to communicate in a professional and effective manner at all times.
MATHEMATICAL SKILLS:
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY:
  • Able to understand and follow instructions. Able to effectively analyze information, problem solve and make sound decisions.
COMPUTER SKILLS:
  • Intermediate to advanced computer skills, particularly with Microsoft Office Suite, web-based applications, social media, and POS systems.
  • Proficiency with WineDirect and Nexternal preferred.
PHYSICAL DEMANDS & WORK ENVIRONMENT:

While performing the duties of this job, the employee is regularly required to prioritize, coordinate, and execute multiple projects and tasks. The employee is regularly required to use legs, hands, arms, and fingers to perform job duties. The employee must have the ability to sit, stand, move and walk for extended periods of time, see, listen, hear, read, write, type, smell, taste and speak. The employee must be able to lift/move/carry/push/pull 50 pounds on a repetitive basis. The employee may also be required to climb, squat, stoop, crouch and kneel. While performing the duties of this job, the employee is regularly working in a combination of an office, tasting room and outdoor environment. The noise level in the work environment is usually low to moderate, and events may have a higher level of noise at times. Required to engage in frequent manual tasks such as cleaning glassware, stocking wine, performing various housekeeping duties, and setting up/taking down event spaces. Must be able to communication in a knowledgeable, respectful manner with guests, co-workers and managers.

WORK ENVIRONMENT:

While performing the duties of this position, the employee is regularly working in a tasting room, office environment, and outdoor patio space, including travel to other company locations. The noise level in the work environment is usually low to moderate. Events may have higher levels of noise.
