Job summary

Machina Labs is seeking an experienced Talent Operations Coordinator to join our growing Talent team, focusing on interview coordination and building scalable recruiting infrastructure.

You will own interview scheduling, travel logistics, and act as a trusted contact for candidates while also refining processes, optimizing our ATS, maintaining data integrity, and enabling hiring teams to adopt new tools in a fast-paced startup setting.

Qualifications

• 4+ years in recruiting coordination or talent operations.
• Experience supporting high-volume or technical recruiting in fast-growing teams.
• Strong experience with ATS and recruiting workflows.
• Proven ability to document workflows and implement new tools.
• Excellent organizational skills and attention to detail.
• Ability to troubleshoot and simplify processes.
• Ownership mindset in ambiguous environments.

Responsibilities

• Own interview scheduling across multiple recruiters and roles.
• Coordinate candidate travel, onsite logistics, and interview days.
• Serve as primary contact for candidates, ensuring clear communication.
• Work with recruiters and hiring managers to prevent scheduling issues.
• Continuously look for opportunities to improve candidate and interviewer experience.
• Document and refine scalable recruiting processes.
• Own day-to-day administration of ATS and recruiting tech.
• Identify bottlenecks and design practical solutions.
• Support rollout of new tools with clear documentation and training.
• Maintain accurate job postings across systems.
