Job Description Position Summary The Talent Acquisition (TA) Operations Specialist coordinates and administers talent acquisition and search processes across the university, supporting recruitment activities from position development through hire. This role provides operational support for active searches, guidance to stakeholders on recruitment procedures and hiring best practices, and supports initiatives that enhance the efficiency, compliance, and candidate experience of recruitment operations. The TA Operations Specialist serves as a key liaison among hiring managers, search committees, recruiters, and campus partners to ensure timely and well-coordinated hiring activities across multiple units and concurrent searches. Roles hired through this pool may primarily serve a unit or college and will have the opportunity to support additional campus human resources teams. Positions will be onsite with some exceptions for hybrid work.

Essential Job Duties
Search Operations and Administration
  • Coordinate and administer recruitment and search processes across multiple departments and concurrent searches, including position development support, requisitions, postings, candidate review activities, and hiring documentation.
  • Ensure recruitment activities are compliant with university policies, procedures, and talent acquisition best practices.
  • Monitor recruitment timelines and facilitate timely progression of searches by identifying and elevating process issues or delays.
Consultation and Stakeholder Support
  • Advise hiring managers, search committees, and other stakeholders on recruitment procedures, hiring requirements, and established best practices.
  • Serve as a point of contact throughout the recruitment process and provide clear and consistent stakeholder communications.
  • Coordinate and facilitate recruitment-related trainings and resources for campus stakeholders as appropriate.
Continuous Improvement and Special Projects Support
  • Support Talent Acquisition initiatives, process improvements, system updates, and special projects that enhance recruitment operations and the candidate experience.
  • Identify opportunities to improve operational efficiencies and promote consistent recruitment practices across the university.
Other Duties as Assigned
  • Perform other duties and projects in support of Talent Acquisition and Human Resources operations.
Conditions of Employment
Pre-employment Background Check
  • Bachelor's degree or equivalent relevant experience (4+ years of professional work experience).
  • Two (2) years of professional experience in human resources, talent acquisition, recruitment operations, or administrative process coordination.
  • Experience managing multiple concurrent processes or projects in a complex or high-volume environment.
  • Demonstrated ability to interpret and consistently apply policies, procedures, and established guidelines.
  • Excellent organizational, written, and verbal communication skills.
Preferred Qualifications
  • Familiarity and experience with Applicant Tracking Systems (ATS) (Workday, etc.).
  • Experience supporting search and hiring processes.
  • Ability to answer questions, explain processes clearly, and provide timely, professional support to stakeholders.
Salary Range

$58,000 - $70,000
