Job summary

Baptist Community Services in Amarillo, TX is seeking an Administrative Assistant for our memory care facility. This part-time role supports daily office operations, resident and family communications, and coordination with staff.

The schedule is 8:00am to 4:30pm, with opportunities for growth and a supportive team environment. Responsibilities include handling calls, managing resident records, tours for prospective residents, and assisting with admissions paperwork.

Qualifications

  • Education: High School Diploma or equivalent.
  • Ability to read, write, and speak English.
  • Ability to work independently and with others.
  • Strong organizational and communication skills.

Responsibilities

  • Serves as communication center, evaluating calls and guest needs.
  • Maintains daily documentation of pertinent communications.
  • Gives tours to prospective residents and families.
  • Completes new resident admission paperwork.
  • Maintains resident medical records in EMR and paper charts.
  • Monitors building traffic and supports maintenance coordination.
  • Assists with memos, faxes, and flyers.
  • Participates as a team member on facility projects.

Hours: 8:00am - 4:30pm


ESSENTIALS OF JOB:


1. Serves as communication center, which includes (constantly):



  • Evaluation of the needs of incoming calls and needs of guests/employees/residents

  • Consideration of regulatory requirements

  • Meeting minutes

  • Evaluation of the quality of services provided



2. Maintains daily documentation of pertinent communications. (frequently)


3. Gives tours to prospective residents/families. (frequently)


4. Completes new resident admission paperwork. (frequently)


5. Maintains resident medical records in EMR system as well as paper charts. (frequently)


6. Maintains the current phone list Park Central facilities. Change and distribute as required. (occasionally)


7. Responsible for monitoring building traffic. (constantly)


8. Assists with completing check requests. (frequently)


9. Maintains work orders for maintenance issues and environmental services. (frequently)


10. Responsible for tracking and confirming license of LVNs & CNAs. (occasionally)


11. Assists with memos, faxes, and flyers. (frequently)


12. Participates as an active member of the facility team to support special projects and activities. (frequently)


13. Must be able to commit the time necessary from an attendance and punctuality standpoint to accomplish the above specified Essentials of Job. (constantly)



Requirements


GENERAL DESCRIPTION:

In collaboration with the Life Enrichment Director coordinates and implements scheduled activities for assigned area.



MINIMUM REQUIREMENTS:

EDUCATION: HighSchoolDiplomaorequivalentwith2-4yearsofexperienceinthefieldor in a related area.


SKILLS: Ability to work independently and implement the planned activity for area. Ability to
work cohesively with peers and other employees. Ability to read, write, and speak English.

  2. Ensures activities on assigned unit as scheduled. (constantly)

  3. Monitors level of residents' functional abilities to maintain appropriateness of activities. (frequently)

  4. Collaborates with Life Enrichment Coordinator to adjust activity program to meet the needs of the residents. (frequently)

  5. Acts as a resident advocate. (frequently)

  6. Must be able to commit the time necessary from an attendance and punctuality standpoint to accomplish the above specified Essentials of Job. (constantly)
