Job summary

Scotland Health Care System's Scotland Memorial Hospital is hiring a Full-time Administrative Assistant in the Surgery Department. You will coordinate calendars, prepare spreadsheets, maintain files, and support daily operations.

Responsibilities include payroll assistance, data entry for staffing schedules (OR, Endo, PACU, CS), generating reports, coordinating projects and meetings, and acting as a department resource while delivering professional, patient-centered service.

Qualifications

  • Minimum 1–2 years of administrative assistant experience.
  • Experience in a hospital or medical setting preferred.
  • Strong communication and customer service skills.

Responsibilities

  • Maintain surgical services calendar, coordinate meetings, prepare spreadsheets, maintain files, process forms.
  • Act as a department resource, directing questions to the appropriate person.
  • Coordinate projects, committees, agendas, and minutes for SS leadership.
  • Handle multiple concurrent tasks to support daily operations of the office.
  • Assist SS leadership with payroll and data entry for staffing.
  • Input data into AMION for call staff and create four-week staffing schedules.
  • Run reports on block utilization, volumes, and other metrics as directed.
  • Provide backup coverage for the surgery scheduler.
  • Support compliance audits with data collection and reporting.
  • Maintain vendor and staff communications and update calendars as needed.
