Surgery Scheduler / Surgical Coordinator
We are seeking an experienced Surgery Scheduler / Surgical Coordinator to coordinate the complete surgical scheduling process, from pre-operative preparation through post-operative follow-up. The ideal candidate will have strong experience with surgery/procedure scheduling, insurance authorizations, Epic EMR, and patient coordination in a fast-paced healthcare environment.
Required Qualifications
- High School Diploma/GED required.
- 2 years of experience with surgery/procedure scheduling required.
- 1 year of experience with insurance authorizations required.
- Experience with Epic EMR required.
- Must have hands-on experience working with insurance companies to obtain authorization for surgery/procedures.
- Previous surgery/procedure scheduling and insurance authorization experience must be clearly shown on the resume.
- Flu vaccination required - no exemptions or declinations.
- Strong organizational, communication, customer service, and problem-solving skills.
- Ability to coordinate multiple procedures, appointments, authorizations, and clinical requirements simultaneously.
Preferred Qualifications
- Previous experience as a Patient Service Representative (PSR) or Medical Assistant (MA).
- Surgery center or hospital experience highly preferred.
- Experience scheduling spinal procedures and total joint procedures.
- Experience working with Workers' Compensation adjusters and case managers.
- Experience coordinating surgical procedures in a high-volume setting.
Key Responsibilities
- Coordinate all patient surgery scheduling activities, including:
- Pre-operative appointments
- Post-operative appointments
- Insurance verification
- Surgery authorizations
- Health clearances
- Pre-operative studies
- Clinical staff scheduling
- Operating room scheduling
- Ensure all required pre-operative studies and clearances are completed before the scheduled procedure.
- Work directly with insurance companies to obtain and track surgery/procedure authorizations.
- Review surgery/procedure risks and benefits with patients according to physician orders.
- Enroll patients in appropriate pre-surgery education classes as directed by the physician.
- Serve as the primary point of contact and liaison between patients, physicians, clinical staff, insurance companies, and internal/external departments.
- Provide patients with resources, coordination, and support before, during, and after surgery.
- Ensure all arrangements are completed for each surgical procedure, including coordination of special equipment requested by the physician.
- Respond to patient questions and complaints and provide appropriate service recovery when necessary.
- Escalate complex patient concerns to the supervisor appropriately.
- Provide direct concierge coordination between the physician's office and designated patient representatives.
- Manage physician referral work queues and complete referrals accurately and timely.
- Handle physician correspondence, forms, authorization requests, calendar management, and transcription-related tasks as needed.
- Prepare patient charts and review, verify, and update demographic and insurance information.
- Work with the billing team to provide information required for audits.
- Ensure appropriate surgical reports and charges are submitted to the billing department for timely reimbursement.
- Collaborate with Workers' Compensation adjusters and case managers regarding authorization requests.
- Follow up on Workers' Compensation authorizations and required documentation to ensure completion.
- Provide clinical or administrative support based on operational needs.
- Maintain patient confidentiality and follow HIPAA, organizational, and department policies.
- Perform other related duties as assigned.
Ideal Candidate
The ideal candidate is an experienced Surgery Scheduler/Surgical Coordinator with proven experience coordinating procedures from initial scheduling through post-operative care. Strong knowledge of insurance authorization processes and Epic EMR is essential.
