Job summary

Crane Center in North Carolina is seeking a Surgical Coordinator to manage all aspects of surgical procedures, collaborating with patients, surgeons and medical staff to coordinate schedules and ensure all preoperative requirements are met for smooth operations.

Requirements include a related degree and at least 2 years of surgery scheduling experience. Knowledge of medical terminology and coding, EMR, MAC, and Office 365 is needed; Spanish is a plus.

Qualifications

  • Associate or bachelor's degree in related field, preferred.
  • Minimum of 2 years' experience in surgery scheduling, required.
  • Knowledge of Medical Terminology and Medical Coding, required.
  • Experienced with EMR, MAC, Office 365 and other related products.
  • Ability to speak, read and write in Spanish, preferred.

Responsibilities

  • Schedule surgical procedures, ensuring operating rooms, equipment, and staff allocation.
  • Coordinate surgery dates with patients, physicians, and hospital staff.
  • Consider physician priorities, patient and equipment needs when scheduling procedures and post-operative appointments.
  • Interface with vendor staff to ensure equipment on site for procedures, including scheduling with providers.
  • Enter notes and special instructions in the electronic medical record.
  • Use clinical knowledge to ensure appointments align with the provider's diagnosis/indications.
  • Provide accurate information to patients about time and location of procedures and related appointments.
  • Respond to questions from patients about scheduling changes or cancellations promptly.
  • Resolve scheduling conflicts or issues quickly and efficiently.
  • Maintain HIPAA confidentiality in handling patient information.
  • Other duties as assigned.

Surgical Coordinator Role

The Surgical Coordinator is responsible for coordinating all aspects of surgical procedures to ensure smooth and efficient operations. This role involves collaborating with patients, surgeons, and medical staff while managing schedules and ensuring all preoperative requirements are met.

Primary Job Responsibilities
  • Schedule surgical procedures, ensuring appropriate allocation of operating rooms, equipment, and staff.
  • Coordinate surgery dates with patients, physicians, and hospital staff.
  • Considers physician's priorities, patient and equipment/special needs when scheduling surgical procedures and post-operative appointments.
  • Interfaces with appropriate vendor staff to ensure all necessary equipment will be on site for office and hospital-based procedures, including scheduling with contracted providers as indicated.
  • Enters notes/special instructions needed for scheduling in the electronic medical record.
  • Effectively utilizes clinical knowledge when determining if appointment is consistent with the diagnosis/indications specified by the provider.
  • Provides accurate, detailed information to patients regarding time and location of scheduled procedure and related appointments.
  • Takes appropriate action in responding to questions from patients regarding scheduling changes and/or cancellations in a timely, accurate manner.
  • Resolve scheduling conflicts or issues promptly and efficiently.
  • Maintain confidentiality and compliance with HIPAA regulations in handling patient information.
  • Other duties as assigned.
Required Experience, Education, Abilities, and Skills
  • Associate or bachelor's degree in related field, preferred.
  • Minimum of 2 years' experience in surgery scheduling, required.
  • Knowledge of Medical Terminology and Medical Coding, required.
  • Experienced with EMR, MAC, Office 365 and other related products.
  • Ability to speak, read and write in Spanish, preferred.
  • Evidence of strong leadership qualities.
  • Demonstrated excellence in interpersonal, operational, and organizational skills.
  • Must have the ability to work independently with minimal instructions, multi-task with commitment to accuracy, detail, follow-up and follow-through.
Additional Details
  • M-F, 40 hours per week
  • Pay range - $25-$28/hour
