Attention to detail, excellent patient service, and prior scheduling or medical office experience are preferred; a high school diploma is required.

  • 1-2 years experience in a physician office practice preferred.

Responsibilities

  • Schedules, sends all correspondence, and coordinates all aspects of the surgical schedule for specialties within the MPN.
  • Attends to needs of patients and visitors.
  • Reassures patients and answer questions regarding surgical scheduling and preparation prior to surgery.
  • Maintains the surgeons schedule within the EMR, and schedules pre- and post-appointments including medical clearances.
  • Ensures patients are scheduled for surgery in an orderly and fair manner and communicates delays to the team.
  • Maintains medical records and ensures related reports are filed/scanned for access.
  • Facilitates physician orders for surgery in conjunction with patient needs and insurance requirements.
  • Answer calls and triage to appropriate staff; route messages from voicemail.

Salary Range: $18.00 - $22.86 Hourly

The Surgical Scheduler in the Practice Setting is responsible for working collaboratively with others in the Practice in providing high quality care to patients to assure exceptional patient care experiences both safely and efficiently.



Key Responsibilities:


  • Schedules, sends all correspondence, and coordinates all aspects of the surgical schedule for specialties within the MPN

  • Attends to needs of patients and visitors.

  • Reassures patients and answer questions as necessary in regard to surgical scheduling and the preparation prior to surgery.

  • Maintains the surgeons schedule within the EMR, and schedules all appropriate pre and post appointments for patient including medical clearances.

  • Assures patients are scheduled for surgery in an orderly and fair manner, and that delays and waiting times are communicated to other members of the team including the MPN Surgical Manager, specialty Team lead, and the Practice Manager.

  • Maintains medical record including ensuring all related reports, labs and information is filed/scanned and available in patients' medical records prior to surgery.

  • Facilitates and executes physician orders for surgery in conjunction with patient needs and insurance requirements, in a timely manner.

  • Answers telephone calls and responds to messages received on surgical scheduler's voicemail in a timely manner. Routes all calls and triages to the appropriate staff member if the call or message is out of their scope.

  • Coordinates and schedules surgeries with other physician specialists as well as imaging, labs and other medical tests as part of the surgical scheduling process.

  • Calls or utilizes online portals to pre-certify and/or meet pre-authorization restrictions for surgical patients. Communicates any denials by insurance company to the provider, and coordinates any peer to peer or appeal as needed.

  • Participates actively in quality improvement activities at practice.

  • Attends and participates in staff meetings.

  • Communicates effectively throughout the day with other Team members to ensure smooth workflow and to coordinate activities so patient needs are met.

Education: High School diploma or equivalent (Required)

Experience


  • Surgical scheduling or medical office experience (Preferred)

  • 1-2 years experience in a physician office practice (Preferred)

Physical ability to perform job-related duties, which may include sitting for extended periods, moving files, and occasionally lifting up to 25 lbs.
