Job summary

TSAOG Orthopaedics & Spine is seeking a Surgical Coordinator to manage the daily operations of the physician’s surgery practice. You will coordinate with the clinical team and external departments to obtain approvals and schedule surgeries for patients.

Responsibilities include coordinating surgical orders, patient education on pre-surgical requirements, and communicating about costs. The role involves travel to several sites and requires strong organizational and multi-tasking abilities.

Qualifications

Responsibilities

• Interacts with administrative and clinical staff to ensure efficient delivery of services.
• Oversees day-to-day activities and schedule of surgical patients.
• Submits and processes surgical orders for authorization.
• Schedules patients for surgery and communicates pre-surgical requirements.
• Explains co-pay/coinsurance or out-of-pocket expenses and refers to a financial counselor when needed.
• Maintains surgical schedule and acts as liaison between staff and authorization department.
• Enters surgical/clinical charges into Athena.
• Documents patient communications and prescription messages and obtains physician signature.
• Ensures timely retrieval of patient calls.
• Works on phone and Athena documentation tasks.
• Monitors Hold buckets on Athena Dashboard and assists with resolving open claims.
• Addresses concerns from patients, vendors, and staff and escalates as needed.
• Coordinates On-Call rounding lists and SOS scores research with physician and patients.
• Ensures regulatory compliance and reports issues to Clinic Manager.

JOB SUMMARY

The Surgical Coordinator is responsible for the overall daily activities of the physician’s surgery practice. In coordination with the clinical team, their responsibilities include communicating with different departments and outside parties to ensure surgery patients get approved and scheduled for surgery.

SUPERVISOR

Clinic Manager

This Surgical Coordinator will be assigned to Spine Surgeon, Dr. Jonathan Duncan.

Travel to the following locations is required: Babcock, Ridgewood and Schertz.

Duties Include, But Are Not Limited To

• Interacts with administrative and clinical staff including front desk, medical records, nursing, and ancillary services (when applicable) to ensure maximum utilization of resources and the efficient delivery of services.
• Oversees the day-to-day activities and schedule of surgical patients.
• Ensures surgical orders are submitted and processed for authorization.
• Schedules patients for surgery and advises patients of pre-surgical requirements to include laboratory orders, educational classes and/or x-rays.
• Advises patients of co-payment, co-insurance or other out-of-pocket expenses prior to surgery and refers patient to a financial counselor when necessary.
• Maintains surgical schedule and serves as liaison between staff and authorization department.
• Enters surgical/clinical charges into Athena
• Documents patient phone calls, prescription refill messages, and obtains physician signature.
• Ensures patient phone calls are retrieved and returned in a timely manner.
• Works on phone and Athena documentation tasks (buckets).
• Monitors and works “Hold” buckets on Athena Dashboard, assists Professional Reimbursement Department on resolving open claims.
• Addresses concerns and/or complaints from patients, vendors, and staff members; escalates to Clinic Manager as needed.
• Works with physician and patients on obtaining research scores for SOS.
• Coordinates On-Call rounding lists of patients.
• Ensures regulatory compliance and reports any issues to Clinic Manager as they arise

Requirements

POSITION REQUIREMENTS

EDUCATION

High School Diploma or equivalent. Nationally Registered Medical Assistant Certification required (must be obtained within 6 months of hire and/or must be kept current).

EXPERIENCE

Minimum of two years clinical experience with supervisory responsibility.

SKILLS

Must have clinical knowledge. Familiar with automated practice management systems and/or EMR such as Athena. Must be familiar with health insurance requirements as it relates to medical reimbursement (i.e., deductibles, co-pays, etc.).

ABILITIES

Must demonstrate strong and effective communication skills. Must be able to lead by example effectively. Excellent planning, organization and task managements skills. Ability to multi-task, work in a fast-paced work environment, and demonstrate team cooperation is required.

Other duties to be assigned as necessary and may vary at times, as needed by your immediate supervisor or as directed by the company.

PHYSICAL DEMANDS/WORKING CONDITIONS

Requires prolonged standing, sitting, stretching, and some bending. Requires eye hand coordination and manual dexterity sufficient to operate a keyboard, photocopies, telephone, and other equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate information to patients and team members. Normal but fast-paced work environment.
