Job summary

TSAOG Orthopaedics & Spine is seeking a Clinic Administrator to coordinate daily operations at our San Antonio clinic, ensuring efficient resource use and timely services.

You will supervise administrative and clinical staff, manage surgery scheduling, and guide pre-surgical testing and billing processes to minimize delays while maintaining high-quality patient care. Strong leadership and Athena experience are essential.

Qualifications

  • High School Diploma or equivalent required; certification must be obtained within 6 months of hire and kept current.
  • Minimum of two years clinical experience.
  • Familiar with automated practice management systems such as Athena; understands health insurance basics (deductibles, co-pays).
  • Strong leadership, planning, organization and management skills; ability to multi-task in a fast-paced environment.

Responsibilities

  • Interact with administrative and clinical staff to ensure efficient service delivery.
  • Oversee day-to-day clinic activities and schedule to reduce patient wait times and overtime.
  • Assist physician to ensure clinic runs smoothly and on time.
  • Schedule patient surgeries and advise pre-surgical requirements and tests.
  • Explain co-payments and out-of-pocket expenses; refer to financial counselor when needed.
  • Maintain surgical schedule and liaison with staff and authorization department.
  • Enter surgical/clinical charges into Athena; route tickets to reception as needed.
  • Coordinate patient tests and follow-up appointments with physicians.
  • Document patient calls, refill messages, and obtain physician signatures.
  • Manage clinical risk and ensure timely patient communication.
  • Monitor hold buckets on Athena dashboard; assist reimbursement department with claims.
  • Address concerns from patients, vendors, staff; escalate to Clinical Services Manager as needed.
  • Analyze wait times and suggest improvements; communicate with staff and physicians.

  • Ensures patient phone calls are retrieved and returned in a timely manner.
  • Monitors and works "Hold" buckets on Athena Dashboard, assists Professional Reimbursement Department on resolving open claims.
  • Addresses concerns and/or complaints from patients, vendors, and staff members; escalates to Clinical Services Manager as needed.
  • Analyzes average patient wait times and makes recommendations for improvement as needed.
  • Communicates with staff and physician on a regular basis to ensure quality of service and needs by the physician and patients are successfully met.
  • Coordinates Physician personal and meeting schedules, to include solutions where scheduling conflicts exist.
  • Coordinates On-Call rounding lists of patients.
  • Ensures regulatory compliance and reports any issues to Clinical Services Manager as they arise.

Requirements
What You'll Need
  • High School Diploma or equivalent. Nationally Registered Medical Assistant Certification required (must be obtained within 6 months of hire and/or must be kept current).
  • Minimum of two years clinical experience.
  • Must have clinical knowledge. Familiar with automated practice management systems such as Athena. Must be familiar with health insurance requirements as it relates to medical reimbursement (i.e., deductibles, co-pays, etc.)..
  • Must demonstrate strong leadership and effective communication skills. Excellent planning, organization and managements skills. Ability to multi-task, works in a fast-paced work environment, and demonstrates team cooperation is required..
  • Other duties to be assigned as necessary and may vary at times, as needed by your immediate supervisor or as directed by the company.
  • Requires prolonged standing, sitting, stretching, and some bending. Requires eye hand coordination and manual dexterity sufficient to operate a keyboard, photocopies, telephone, and other equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate information to patients and team members. Normal but fast-paced work environment.
  • Requires regular and consistent attendance.
