  • HS diploma or equivalent; associates degree preferred in business or medical field.
  • 1–3 years' experience in ophthalmology or medical scheduling.
  • Knowledge of insurance company procedures.
  • Strong interpersonal communication; ability to build and maintain relationships with patients, physicians, management and co-workers.
  • Ability to work independently and in a team; maintain confidentiality and attention to detail.

Responsibilities

  • Schedules office and Ambulatory Surgical Center procedures in the appropriate time/location slot using scheduling codes.
  • Schedules diagnostic tests and imaging; ensures time is utilized efficiently.
  • Coordinates with staff to ensure necessary equipment is on site for procedures.
  • Enters notes and special instructions in the electronic medical record.
  • Responds to patient questions with clear information on test preparations, arrival times, and directions.
  • Obtains prior authorization or coordinates authorization with needed parties.
  • Ensures medical clearance and pre-surgical testing as required.
  • Performs pre-procedure phone calls and confirms appointment times with patients.
  • Ensures discharge instructions are reviewed and follow-up appointments scheduled.
  • Gathers advance directives documentation as applicable.

Job description

The Virginia Eye Institute is hiring! VEI is a large and dynamic practice of ophthalmologists and optometrists in the Richmond, VA area, including eight locations and an ambulatory surgery center. We are searching for a Surgical Coordinator in our Westchester clinic.

We are seeking a reliable candidate with outstanding patient service skills. The ideal candidate will be a team player, self-starter, friendly, motivated, organized, and have a sense of urgency. A caring demeanor and the ability to build and maintain patient rapport is critical. The candidate must be highly organized, productive, eager to learn, and motivated to succeed.

The Surgical Coordinator will schedule appropriate procedures / surgeries per provider's
orders. In addition, this position must schedule office based and surgical procedures
consistent with the patient's diagnosis and procedure request. This position will assist with continuity of care by managing relationships with providers, transitions, and referrals.

RESPONSIBILITIES:
  • Schedules office and Ambulatory Surgical Center (hospital based) medical procedures, for patients with appropriate provider in the appropriate time/location slot, utilizing appropriate scheduling code.
  • Schedules diagnostic and imaging tests to be completed at VEI. Schedules office and hospital based medical procedures, tests and imaging ensuring available time is utilized to maximum efficiency.
  • Coordinates with appropriate staff to ensure all necessary equipment will be on site for office and hospital based procedures.
  • Enters notes/special instructions needed for scheduling in the electronic medical record.
  • Effectively utilizes clinic knowledge when determining if appointment is consistent with the diagnosis/indications indicated by the provider.
  • Completes accurate documentation of informed consent with patients for procedures and surgeries as needed.
  • Provides accurate, detailed information to patients regarding test preparations, time of patients scheduled arrival, and any other directional information needed; takes appropriate action in responding to questions from patients.
  • Confirms patient’s insurance provider and either obtains prior authorization or communicates need for prior authorization to appropriate parties as needed.
  • Ensures patients have proper medical clearance and pre-surgical testing as needed.
  • Completes pre-procedure phone calls and confirms appointment times with patients via telephone.
  • Ensures completion of assessment for advance directive, including DNR when applicable.
  • Reviews discharge instructions with patients and ensures proper follow-up appointments are scheduled at the time the procedure is scheduled.
REQUIREMENTS:

Minimum education: HS diploma or equivalent; prefer Associates degree or some college education in business or medical related field.
Previous experience working in Ophthalmology or a medical practice (1-3 years in healthcare scheduling)

Knowledge of insurance company procedures
Strong interpersonal communication skills, including the ability to establish and maintain effective relationships with patients, physicians, management, and co-workers

Ability to work independently and in a team sitting while coordinating multiple assignments

Ability maintain a high degree of confidentiality
Demonstrates attention to detail
