Job summary

Austin Regional Clinic seeks a dedicated Surgical Scheduler to manage physician surgery schedules at local centers and hospitals in Round Rock, TX. You will obtain authorizations, verify benefits, and coordinate pre- and post-operative activities with clinical teams.

The role requires strong ICD/CPT coding knowledge, excellent communication, and the ability to manage multiple priorities while ensuring HIPAA compliance and patient care quality.

Qualifications

• Requires high school diploma or GED and surgical scheduling experience.
• Knowledge of ICD and CPT coding is preferred.
• Strong communication and professional conduct are essential.

Responsibilities

• Coordinate with physician and clinical team to schedule patient surgeries at local surgery centers and hospitals, pre op, and post op appointments.
• Coordinate necessary surgical devices/implants with vendor representatives.
• Coordinate surgical assistant coverage when applicable.
• Meet with patients prior to surgery to review instructions, consents, insurance information, and questions.
• Complete surgery checklist with physician schedule and guidelines.
• Ensure pre-op orders, H&P, insurance, and demographics are sent to facilities.
• Facilitate surgery cancellations, time/date changes, and order updates with all parties.
• Update EPIC and Outlook calendars with changes or additions to schedules.
• Code surgery orders prior to sending to the facility.
• Obtain insurance benefits and authorization requirements for procedures.
• Request cost estimates from financial counselors, anesthesia, and facility.
• Initiate charity process for uninsured patients when applicable.
• Review patient history and meds to ensure accuracy and clearances.
• Make outgoing calls to schedule procedures and respond to voicemails.
• Assist other surgery schedulers as needed.
• Adhere to policies including OSHA, HIPAA, compliance and Code of Conduct.
• Maintain regular and dependable attendance.
• Support the core competencies of the organization.
• Work holiday shifts as required by policy.
