Job summary

Qualifications

Responsibilities

  • Coordinate inpatient and outpatient surgical procedures with patients and facilities.
  • Provide patient information, including surgery cost details not covered by insurance.
  • Verify paperwork and insurance authorizations; perform insurance verifications.
  • Explain pre and post-operative instructions and coordinate tests/pre-op clearances.
  • Triage patient inquiries and maintain accurate medical records in EMR.
  • Communicate between physicians, hospitals, and patients to ensure timely scheduling.

Job description

Job Purpose

This position will be located in the Dallas Office and will report directly to the Clinical Office Manager. The Surgery Scheduling Coordinator is responsible for all aspects of coordinating surgeries, assisting with processes associated with the patient intake and routine billing duties within the clinic. Follows standard procedures and pre-established guidelines to complete tasks.

Texas Retina Associates is Texas’ largest, most experienced ophthalmology practice focused specifically on the diagnosis, medical and surgical management of diseases of the retina and vitreous. Our fellowshipped and specialty trained physicians care for the most complicated retina conditions such as ocular cancer and uveitis. This physician owned medical group provides services at 15 locations throughout the DFW metroplex, Waco, Wichita Falls and Lubbock.

Essential Duties
  • Provide customer service to patients via phone and during clinic visits; meet with patients in clinic to provide information, including cost for surgery/procedures not covered by insurance plan. Excellent skills in customer service and effective interpersonal communication.
  • Act as resource to the patient throughout the process
  • Scheduling Inpatient and Outpatient surgical procedures with the patient and hospital/surgery center
  • Understanding surgical procedures, such as the necessary time a surgery takes, medical staff necessary and equipment needed for the surgery
  • Coordinate any ancillary testing and pre-operative clearances as directed by the physician, mid-level provider and/or in accordance with anesthesia guidelines
  • Schedule preop and post op appointments in accordance with the surgeon’s preferences and type of surgery being performed
  • Facilitate communication between physician, hospital/surgical center departments and patients
  • Provide patients with pre and post-operative instructions.
  • Coordinate Ophthalmologists surgery schedules
  • Manage all surgical documents, gather and input patient information and enter all post-surgery data
  • Ensuring all surgical cases are scheduled in a timely manner
  • Verify all required paperwork is completed prior to day of surgery
  • Perform insurance verifications / authorizations
  • Ensure completion of all paperwork and insurance authorizations
  • Review and ensure accurate ICD-10 and CPT Coding
  • Triage phone calls and patient inquiries
  • Excellent computer skills, including but not limited to, email, EMR and tasking to physician, scribe or medical assistant in order to avoid interrupting clinic.
  • Retrieve messages from voicemail, email and EMR System
  • Return messages to patients and outside agencies promptly
  • Make independent decisions; make prompt and accurate judgments when circumstances warrant; escalat issues to manager as necessary.

Minimum Education and Experience
  • High School diploma or equivalent required.
  • Minimum two (2) years medical practice experience required. Experience as a Surgical Coordinator is highly preferred.
  • Demonstrated computer skills required. Experience with NextGen and Phreesia preferred.
  • Knowledge of ICD-10 and CPT coding is required. Insurance verification experience is a plus but not required.
  • Must successfully complete required training within 90 days of occupying position.

  • Must be articulate in English speech, writing and understanding. Bi-lingual is a plus.

  • Proven analytical skills; recognize, evaluate, solve problems, and correct errors, and develop processes that eliminate redundancy

Physical Requirements
  • Sedentary with prolonged sitting, talking and working at computer.
  • Hear and use hands and fingers to operate and handle keyboards and controls
  • Occasionally required to walk, bend and reach with hands and arms
  • Must be able to occasionally lift, carry and/or move up to 25 pounds.
  • Specific vision abilities include close vision and the ability to adjust focus.
