General Summary:

Under minimal supervision of a Supervisor/Manager/Coordinator, the scheduler is responsible for performing revenue cycle tasks necessary to ensure compliance, patient safety, and excellent customer service. Responsibilities include scheduling procedures and surgeries based on requests or orders, validating patient demographic and insurance information, screening for medical necessity to ensure Medicare compliance, documenting precertification/authorization, verifying patient eligibility and benefits, calculating and collecting patient liabilities, and providing exceptional customer service.

Knowledge, Skills, and Abilities:
  • Associate's degree in a health-related field and at least 3 years of experience in a physician practice, urgent care, or similar setting, or equivalent practice experience.
  • Strong interpersonal and communication skills to effectively interact with patients, families, physicians, and staff.
  • Problem-solving skills and experience.
  • Knowledge of medical terminology and computer literacy, including practice management software and electronic medical records (preferably EPIC).
  • Understanding of the revenue cycle process and related performance measures.
  • Analytical and organizational skills to prioritize activities and adapt to changing situations.
  • Experience with CPT, ICD-9, and ICD-10 coding.
  • Commitment to high levels of customer service.
  • Team-oriented with leadership potential.
  • Self-motivated with a strong work ethic, proactive attitude, and willingness to accept delegation.
Working Conditions:

Normal office environment with no adverse exposure. Flexible scheduling required to meet deadlines and workload demands.

Principal Duties and Responsibilities:
  • Schedule surgeries and procedures at appropriate facilities, coordinating with personnel to meet surgeon schedules and protocols.
  • Obtain, validate, and document patient demographic, insurance, and clinical information accurately.
  • Follow policies and procedures regarding scheduling and precertification requirements.
  • Perform patient registration duties, including data entry and maintaining confidential records.
  • Cancel or reschedule appointments as needed.
  • Collect and document pre-certification/authorization information when available.
  • Resolve scheduling, financial clearance, and patient liability issues.
  • Collaborate with internal and external staff to ensure efficient information flow, report issues, and participate in educational activities.
  • Demonstrate behaviors aligned with Mercy's Mission and Core Values.
  • Comply with legal, ethical, and safety standards, including the Corporate Responsibility Program.
  • Promote excellent customer service and accountability.
  • Monitor provider schedules for optimal patient access.
  • Track and report referrals as directed.
